Job Summary
The Administrative Assistant performs a wide variety of administrative and clerical duties in support of the corporate staff. Work requires that employee use judgment and creativity in organizing and managing the work flow and assuring that all deadlines are met and administrative activities are coordinated. Duties include a high level of external and internal public contact and management of varied records and files systems. Confidentiality is involved, and sensitive situations may be handled. This position is located in the Jackson, MS corporate office.
Primary and Essential Functions
Support Strengthening HOPE Initiative that values an organizational culture for open communication, innovation, associate engagement and other traits that contribute to collaboration and high performance.
Provide excellent customer service to internal and external customers
Manage the Front Desk operations (i.e., answering the phone, greeting visitors and staff in a professional manner, processing incoming and outgoing mail, etc.)
Upload and process invoices for submission of check requests in Concur
Prepare Work Order Requests to support Facilities Department
Provide company identification badges for corporate office employees
Monitor and maintain appearance of the lobby, conference rooms, break rooms and bathrooms
Compose, draft, edit and screen correspondences, memorandums, letters and other materials as directed
Provide administrative assistance to other departments, as needed, such as drafting written correspondences, making travel reservations, and preparing and submitting expense reports for executive and senior managers
Secondary Functions
Perform general administrative duties such as attending meetings, report production, etc.
Assist in planning and preparation of meetings, including staff meetings and special events
Assist with assorted mail projects
Gather a variety of information, utilizing knowledge of various computer programs and internet procedures for research assignments
Perform other duties as assigned
Competencies/Skills
Proficiency with Microsoft Word, MS Excel, Access, and Outlook.
Ability to read and interpret documents, write routine reports and correspondence.
Ability to speak effectively before groups of customers and employees of the organization.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to compute rate, ratio, percent, and interpret data.
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
Ability to deal with problems involving a few concrete variables in standardized situations.
Candidate must be able to handle a complex phone system with ten or more lines without error
Good customer service skills
Desired Qualifications
High school diploma, associate’s degree preferred
Two or more years of administrative/secretarial experience
Must have experience with MS Word and Excel. MS Outlook a plus.
