The Coordinator, Data Acquisition handles data requests made to government entities and/or their data providers. The Coordinator monitors their assigned tasks, making sure they are completed in an efficient and timely manner. The Coordinator uses the internal task tracking system to keep tasks updated as they progress, as well as load the data into our system once it is received.

In order to load the data, the Data Coordinator must learn how to evaluate files and determine if they are correct, and if so, how they should be mapped into the system.

The ideal candidate will have strong

communication skills

, resulting in professional interactions with government entities; the ability to organize their workload of tasks to keep up with deadlines; and

technical proficiency

, allowing them to learn our internal systems. The successful candidate will be highly flexible with availability across all time zones and possess highly effective phone and email etiquette, determining the best way make public information requests.

Client:

Researching state property tax information

When we decide to begin working in a new state, the Coordinator, Data Acquisition contacts every assessor and collector to learn about their property tax process & timeline.

The requests for new states will essentially be blank, and the Coordinator will call/email the necessary entity within the state to get information about requesting the data.

Managing projects

Each year and request type (assessments, bills, etc.) is considered a “project”.

The Data Coordinator will “own” a project and determine how to obtain the data for each entity (assessor or collector).

The tasks for each project must be updated, maintained, and worked until completion.

Requesting data for established states

For states worked previously, the request information will carry forward from the prior year, giving a starting point.

Coordinator will contact the agency to confirm request information and see when the data will be available for the current year.

Data requests could involve calling, emailing, and creating request letters to be mailed.

Communicating with government agencies

The majority of the job function involves communicating with government agencies. Many will be familiar with public records requests and provide the data without any issue. Others may be wary of why the data is being requested and push back on providing it. Professionalcommunicationis a must.

Each states terminology for requests will be learned as the Coordinator works through the tasks. Each state labels their data differently and knowing the correct terminology will help with the requests.

Tracking requests in our internal system

Request tracking is a very important part of the process, and an internal web-based system is used. There are various appeal deadlines and due dates in each state, and they can change from year to year and differ between counties. The dates must be updated on the tasks so that both we and the clients are aware of when the data will be available.
