Job Summary

The Executive Assistant/Planner , reporting to the Vice President of Global Services, is a strategic thinker and organizational expert responsible for managing and coordinating high-level executive activities, ensuring optimal efficiency and productivity. This role requires a keen eye for detail, strong communication skills, and the ability to anticipate and address potential challenges.

Responsibilities:

Executive Calendar Management:
Manage and maintain executive calendar, prioritizing appointments, meetings, and deadlines.
Coordinate with internal and external stakeholders to schedule meetings and events.
Proactively identify potential scheduling conflicts and resolve them efficiently.
Travel Coordination:
Arrange and manage domestic and international travel itineraries, including booking flights, accommodations, and ground transportation and reimbursements.
Project Management:
Assist with the planning and execution of high-priority projects, tracking progress and deadlines.
Coordinate with cross-functional teams to ensure timely completion of tasks.
Communication and Coordination:
Effectively communicate with executives, team members, and external stakeholders.
Respond to inquiries and requests in a timely and professional manner.
Administrative Support:
Handle a variety of administrative tasks, such as managing correspondence, preparing presentations, and organizing files.
Provide general office support as needed.
Confidential Information:
Handle sensitive and confidential information with the utmost discretion.
Always maintain strict confidentiality.

Requirements:

Bachelor’s Degree or equivalent experience.
5+ years related experience
Proven experience as an executive assistant or similar role.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Ability to multitask and prioritize tasks effectively.
Strong attention to detail.
Discretion and confidentiality.
Flexibility to work irregular hours as needed.
