The front desk administrative assistant is the first point of contact for visitors and clients, providing exceptional customer service while managing a variety of administrative tasks.
Essential Functions

Professionally greets visitors and ensures badge assignment and other visitor-related security measures are consistently enforced; may generate employee badges and support new employee setup and onboarding/orientation
Answers, appropriately screens, and routes phone calls promptly and in a courteous, professional manner
Responds politely and professionally to employee inquiries, providing instructions, resources, or other information as required
Assists with event coordination as needed; assists with coordination of employee engagement, training, and other internal group activities; coordinates food and beverage order, pickup/delivery and setup/cleanup as needed for various internal meetings
Maintains employee information center/bulletin boards with timely information; may assist with preparation and distribution of employee newsletters and other communications
Maintains a variety of tracking spreadsheets and metrics for management reporting; may utilize ERP/Accounting software to record and store information
Performs general office duties such as scanning documents, filing, sorting and delivering mail, and handling routine correspondence; operates computer, 10-key calculators, scanners and copy machines, and other office equipment
May make travel arrangements and prepare/review expense reports
Maintains appropriate inventory of office and other supplies, placing orders or making in-person purchases as appropriate; establishes and maintains relationships with vendors and vendor programs
Utilizes personal vehicle (mileage to be reimbursed) to travel between Tulsa area locations and to pick up and deliver supplies as needed; may make bank deposits
Performs other duties as assigned
Regular attendance on-site at the work location is required
Required Education and Experience
A high school diploma or GED equivalent is required; vocational or other post-secondary education in office administration or general business is preferred
At least one (1) year of clerical/administrative support or office management is preferred; front desk experience is highly preferred
Other Required Skills and Abilities
Demonstrated analytical, problem-solving, and critical thinking abilities to handle unexpected challenges and make decisions appropriately
Communication skills to effectively and professionally exchange and present information (English)
Commitment to maintaining confidentiality, securing company records, and demonstrating discretion and integrity in communications and actions
Self-management skills including initiative, efficiency, sense of urgency, ability to adapt and respond to unexpected circumstances, and ability to juggle multiple projects, competing priorities, and meet concurrent deadlines
Friendly and professional verbal and written communication skills (English)
Proficiency in Microsoft Office applications including Outlook, Teams, SharePoint, and advanced intermediate skills using Excel, PowerPoint, Word
Valid driver’s license and acceptable driving record is required
Physical Demands and Work Environment
To perform the essential functions of the role, employees must be able to perform the following activities with or without reasonable accommodations:
Sit for prolonged periods at a desk and working on a computer
Regularly stand and walk
Occasionally climb steps or stairs
Constantly communicate verbally and in writing (English) using a phone, texts or other messaging, and email
Use hands and fingers to operate computer keyboards, mouse, or other peripherals
Drives personal vehicle as needed to run errands and perform essential duties
The normal work environment is a typical office setting; however regular brief visits (at least daily) to the warehouse/manufacturing environment will be required and the employee may be exposed to excessive noise, dust, fumes, vapors, and hazards including forklifts and other moving equipment. The use of PPE, including hearing protection, eye protection, and the use of safety footwear may be required during these visits.
