WHO WE ARE
The Illinois Valley Family Coalition (IVFC) is a community-focused nonprofit organization committed to providing essential services to those in need. As the steward of real property, the organization plays a vital role in supporting the community by renting space to fellow non-profits, governmental programs like ODHS, and overseeing various initiatives aimed at serving community members in need. Our mission is to deliver emergency assistance, education, advocacy, and referral services in collaboration with other community resources.
Founded in 1995, Illinois Valley Family Coalition provides supportive services that allow residents to access services they do not know they are eligible for, would not normally qualify for, or do not have the ability to access. The Coalition does this by educating, training, mentoring and coordinating services. In the process, we serve to build our citizens’ abilities to support themselves and their families.
THE ROLE LOGISTICS
We’re looking for a dynamic, self-motivated Office Admin to support our organization’s leaders in serving the community. This role is a blend of facilities management, client services, and administrative support, with a strong emphasis on utilizing digital tools to enhance efficiency and organization.
This will be a part-time (W2) position. There is potential for growth with 30/60/90 day reviews to look at compensation increase and additional hours based on performance.
This is for an in-person only position at our office located at 535 East River Street Cave Junction Oregon 97523. We currently need shifts covered during the hours of: 9am – 5pm Monday – Friday weekly. Schedule to be determined.

RESPONSIBILITIES AND AREAS OF NEED
Below is a list of areas where we have gaps and need your help, in priority order.

Client Services
Provide direct support to clients accessing emergency services, connecting them with resources, coordinating appointments, and offering guidance with empathy and clear communication.
Manage incoming communications, responding to emails, phone calls, voicemails, and text messages with clear, empathetic, and customer-friendly language.
Administrative Support
Provide administrative support, including scheduling and sending reminders for onboarding, training, and compliance reviews; as well as following established checklists and process SOPs to ensure smooth operations.
Manage and maintain digital tools, including CRM system, Google Drive folders (using established naming conventions), Trello boards, Google Calendar, and Google Forms, to ensure efficient organization, accurate record-keeping, and information sharing.
Conduct quarterly billing for various programs and services, ensuring accurate invoicing and timely payment processing.
Facilities Management
Manage the daily operations of IVFC’s facilities, ensuring a safe, clean, and well-maintained environment for staff, clients, and tenants, including tidying and organizing common areas to create a welcoming atmosphere.
Manage tenant communication and relations, coordinate building maintenance and repairs, and work with vendors and contractors to address facility needs promptly and efficiently.
Manage inventory and ordering of cleaning and office supplies, ensuring adequate stock and cost-effective purchasing.
Track and coordinate employee shifts to ensure consistent office coverage and support for clients and visitors.

You possess strong administrative skills, enabling you to manage schedules, coordinate onboarding and training, and maintain organized records and documentation.
You have a knack for facilities management, ensuring smooth daily operations, a welcoming environment, and efficient coordination of maintenance, repairs, and various relationships.
You are technologically proficient, comfortable using various digital tools like CRMs, Google Workspace (Drive, Calendar, Forms), and Trello to streamline workflows, manage projects, and ensure efficient communication.
You have a keen eye for detail and are meticulous in tasks such as managing inventory, processing invoices, and maintaining accurate records.
You are proactive and resourceful, able to anticipate needs, take initiative, and find creative solutions to challenges that arise in a dynamic environment.
You are a strong communicator, able to convey information clearly and effectively to diverse audiences, both verbally and in writing, including crafting empathetic and client-friendly emails and messages.
You are organized and efficient, able to manage multiple tasks, prioritize effectively, and follow established procedures to ensure smooth operations.
