Reports to: Manager, Administration and Operations
Purpose:
To provide professional and administrative support as the first point of contact for the President’s office, ensuring a welcoming and efficient environment. This role assists the Manager of Administration and Operations in the seamless execution of office activities and responsibilities, delivers high-quality administrative support, and facilitates positive interactions with all visitors and stakeholders.
Responsibilities:
Manages front desk operations and visitor experience by serving as the primary point of contact, ensuring professional reception, efficient direction, and effective handling of inquiries, in-person and via phone
Provides comprehensive administrative support by executes a range of administrative tasks including correspondence, scheduling, record-keeping, supply management, and equipment inventory for the President office and Watson House
Facilitates presidential support activities by assists the President’s office team with meeting preparations, seasonal greetings, HR-related tasks, and the management of gifts and mail
Supports hospitality and event logistics by coordinating logistical arrangements, including venue booking, catering, transportation, and on-site support, for meetings, high-profile visits, and university events, such as Board of Trustees and Commencement
Administers financial processes by managing SAP for invoice settlements, travel expense processing, and procurement requests for the President’s office and related events and assisting with budget planning and petty cash
Ensures effective office operations by liaising with IT and facilities for support, managing security clearances, coordinating travel arrangements, and maintaining organized office systems
Performs other related duties as assigned
Requirements:
Minimum Education Requirements:
Bachelor’s degree required
Experience:
Minimum of five to seven years of relevant experience, including at least three years in office management and public relations roles
Skills:
Excellent interpersonal skills and the ability to interact effectively and professionally with a wide range of individuals from diverse backgrounds
Must maintain a high degree of confidentiality, demonstrating flexibility, discretion, tact, and diplomacy at all times
Strong proficiency in English grammar and business correspondence with a high level of attention to detail and accuracy
Proven ability to work effectively with staff, students, and faculty from diverse cultural backgrounds in a dynamic and complex environment within a large organization
Ability to work effectively under pressure and manage multiple tasks to meet deadlines
Demonstrated ability to exercise independent judgment and take initiative in completing tasks
Proficient in Microsoft Office Suite, e.g. Word, Excel, PowerPoint, and comfortable with using various office technologies
