This position is responsible for greeting incoming visitors and switchboard duties and supporting site staff so they can focus on their jobs. Responsibilities will vary based on site, staff and company needs.

You will…

Greet guests and answer and redirect incoming calls as required.

Follow security procedures (signing visitors in and out, assigning badges, etc.)

Signs for and distributes packages and deliveries.

Receive vendors and facilitate their visits.

Ensure maintenance and proper operation of major site equipment (i.e., printers, faxes, security system, badges) and restock base supplies).

Process submittals for new purchases and office setup (i.e., computers, headsets, monitors, office supplies, voice mail set-up).

Schedules meetings or interviews, and arranges conference rooms or makes other logistical arrangements as required.

Assist with onboarding of new hires, creating employee badges, desk setup, and welcoming.

Assists Facility Manager with space management and desk assignments.

Manage travel arrangements for non-company employees as needed and maintain travel logs.

Work with property management on parking access for employees and enter work orders for the property engineer.

Create, maintain, and process reports and databases (visitor log, shipping, and delivery log, temporary guest badge assignments) to ensure timeliness and accuracy of information.

Facilitate the distribution of Building announcement information to appropriate individuals and departments.

Maintain a high standard of personal appearance. Ensures a professional appearance in the reception area and boardroom.

Coordinate employee building amenities access with property management.

May administer other employee programs as required.

May perform related clerical work such as word processing.

Additional duties may include data entry, filing, sorting, mail distribution, and completing special clerical projects.

May lead projects and perform other duties as assigned.

We are interested in speaking with individuals with the following…

Two (2) plus years of administrative work, receptionist work, and/or contact center customer service experience.

High School Diploma or GED required.

Switchboard experience required.

Experience in an Administrative Assistant position is strongly preferred.

Experience in data entry and maintaining databases preferred.

Experience with managing self-service visitor management kiosks desired.

Experience with access control system data entry desired.

Must be able to maintain confidentiality of information.

Excellent customer service and people skills and must be able to work independently or with a team.

Ability to quickly learn new technology and processes.

Must be able to understand and follow complex instructions.

Read, write, and understand English fluently.

Ability to accurately type 35wpm.

Proficient in Word, Excel, Outlook, and PowerPoint.

Excellent oral and written communication skills.

Possesses a high degree of situational awareness with the ability to recognize potential security risks.

Ability to maintain a polite manner and work comfortably with the public.
