POSITION SUMMARY:
The Community Impact & Administrative Specialist provides essential administrative, data, and grant management support to the Community Impact team and organization as a whole. This role is responsible for assisting with the grant management platform, including assisting funded partners with applications and reporting, ensuring data accuracy for internal tracking, receptionist, scheduler, and office inventory and administration. The Specialist plays a key role in many parts of the organization and helps keeps the office running smoothly while welcoming all guest.
ESSENTIAL FUNCTIONS:
Community Impact Support
Prepare materials and record meeting proceedings for Community Impact committees.
Coordinate scheduling, communication, and logistics for application reviews and site visits.
Provide administrative support for strategic initiatives and focus areas.
Triage and support requests for community assistance, referring as appropriate.
Grant Management Support
Maintain the electronic grant management platform; set up application and reporting cycles.
Provide technical assistance and guidance to funded partners using the system.
Monitor submission deadlines and follow up on outstanding reports or documentation.
Data & Reporting Coordination
Generate and format data reports on program outcomes, funding allocations, and other internal needs.
Prepare clean datasets to support analysis and review by the Director of Community Impact.
Office & Building Assistance
Answer telephone and handle all inquiries in a positive and professional manner
Meet and greet clients and visitors
Prepare correspondence for publications and presentations utilizing Word, Excel and PowerPoint
Assist with coordinating agency speaker opportunities for companies requesting speakers
Transcribe minutes for the Board of Directors and the Foundation Board meetings as needed
Prepare for meetings including scheduling and distributing materials
Make follow-up calls to determine meeting attendance
Process incoming and outgoing mail
Operate office equipment including, but not limited to: copier, fax machine and postage machine
Assist with travel accommodations/reservations
Order office supplies as needed, as well as supplies needed for various functions
Additional duties as assigned
QUALIFICATIONS:
Associate’s or Bachelor’s degree preferred (e.g., Public Administration, Nonprofit Management, or related field).
1–3 years of experience in grant coordination, program support, receptionist, or data entry/analysis.
Proficiency in Microsoft Office; experience with grant platforms and CRMs a plus.
Strong organizational skills and attention to detail; ability to manage multiple tasks and deadlines.
Excellent written and verbal communication skills.
Demonstrated adaptability and a collaborative spirit in a team and mission-driven environment.
Ability to deal with public and business community in a friendly, positive manner.
