About the Role:
We are seeking a highly skilled and experienced Business Administrative Assistant to support a busy executive with multiple ventures in healthcare and technology, including PR360, Veras Health, LPS Health, and other associated entities. This role requires exceptional organizational, communication, and problem-solving abilities with a proactive mindset and high attention to detail.

You’ll be the right hand of the executive—handling email communications, managing complex calendars, organizing files, overseeing travel logistics, and assisting in day-to-day administrative operations across multiple companies.

Key Responsibilities:

– Email Management & Communication

Read, draft, and respond to professional emails on behalf of the executive.
Manage business email accounts for PR360 and Veras Health.
Maintain a professional tone and ensure timely responses.

– Calendar & Schedule Management

Coordinate schedules across multiple businesses (PR360, SIR, LPS Health, and personal).
Handle locum tenens shift scheduling and planning.

– Travel Planning

Arrange flights, accommodations, and itineraries for work-related travel.
Ensure timely and cost-effective bookings.

– Finance & Documentation

Create and send invoices for locums and other work.
Follow up on collections and maintain accurate records.

– Medical Licensing & Credentialing

Manage all medical licenses, renewals, applications, and certifications.
Track CME credits and board certification deadlines.

– Document Editing & File Organization

Edit and polish Google Docs, Excel spreadsheets, and reports.
Build and maintain a searchable, cloud-based email and document filing system.

Core Skill Sets Required:

Time management, multitasking, file/database management, and fast, accurate typing.
Strong written and verbal communication.
Active listening and polished digital communication etiquette.
Microsoft Office Suite, Google Workspace, Zoom, Teams, Discord.
Basic IT troubleshooting and database reporting.
Independent problem-solver with a high tolerance for ambiguity and change.
Professionalism, discretion, empathy, and team collaboration skills.
Strong initiative, ability to lead projects, and anticipate executive needs.
Familiarity with healthcare and/or startup environments is a plus.

Preferred Experience:

5+ years supporting C-level executives or physicians.
Experience in the healthcare, telemedicine, or medical services industry.
Prior involvement with medical licensing or credentialing processes.

Job Types: Full-time, Part-time

Pay: $50,000.00 – $110,000.00 per year

Expected hours: 16 – 40 per week
