Job Description Summary:

Under general supervision, to adhere to the court employees’ ethical code of conduct, to provide support to the daily operations of the violations bureau, and to perform related duties as required.

Job Description:

DUTIES AND RESPONSIBILITIES:

Performs a variety of duties to assist in the daily operations of the violations bureau. This includes the following:

Performs receptionist duties by answering the phones, greeting the public, answering routine questions, and referring visitors to appropriate areas.

Appropriately responds to questions from City staff and the public regarding traffic, general, animal, photo, and parking violations.

Provides accurate information to the public regarding city ordinances, state statutes, and court procedures.

Understands and makes accurate distinctions between giving customer service information and not giving legal advice.

Interacts with departments/agencies who file summonses with the court. This includes explaining procedures, answering questions, coordinating information, and communicating to enhance efficient court operations.

Disseminate accurate information regarding current case status, dispositions, and court ordered sanctions to departments, the public, and other agencies such as Colorado Bureau of Investigation, CCIC/NCIC, Probation Departments, Motor Vehicle Division, and United States Military Office of Personnel Management.

Understands and updates job knowledge in procedures involving access to public records, ex parte communication, and record retention.

Updates job knowledge through training in court procedures and customer service delivery.

Ensures adherence to policies and procedures set by Court Administrator, Judge, state statutes, and local ordinances. This includes the following:

Maintains court files and records.

Maintains confidentiality of records.

Processes traffic, general, animal, photo, and parking violations including data entry, payments, and deferred judgments.

Continues arraignment dates and payment plans within established guidelines.

Referees customer complaints regarding parking violations, and makes determinations regarding applicability of suspension criteria; proactively educates the public to deter further parking violations.

Authorizes Parking Management Officers to impound and boot vehicles.

Administers the close out of court files on completed or terminated cases.

Issues warrants, writs, outstanding judgments and defaults per judges’ order.

Responds efficiently and accurately in the cancellation of warrants, writs of commitment, outstanding judgments, default judgments, and boot/impound release.

Compiles materials for arraignment dockets.

Maintains and updates files, logs, and prior history cards.

Purges closed files in accordance with record retention guidelines.

Updates arraignment calendar, notifies Boulder Police Dispatch, City Attorneys’ office and other agencies of court dates and changes.
