Key Responsibilities
- Manage the Department Head's calendar, schedule meetings, and ensure all required preparation materials are available on time.
- Follow up on action items and critical decisions resulting from every meeting.
- Conduct morning and end-of-day check-ins with the Head to consolidate backlogs, highlight urgent matters, and align priorities.
- Act as the primary point of contact for all incoming Creative Briefs from various Business Units.
- Deeply analyze and challenge briefs before routing them to the Creative Team, ensuring requests are clear, goal-oriented, and perfectly aligned with company objectives.
- Guide and mentor requestors in articulating their actual business needs rather than just what they think they need.
- Represent the Department Head in brief discussions, escalating issues only when requestors become argumentative or when a decision exceeds your authority.
- Handle invoices, reimbursements, purchase requests (PR), and other administrative requirements on behalf of the Department Head.
- Independently navigate the company's financial workflows, proactively driving and following up on routine processes without needing the Head's daily involvement.
- Act as the end-to-end Producer for photoshoots and video production sessions, coordinating teams, equipment, logistics, and accommodations.
- Manage production budgets rigorously, ensuring all projects are executed on time and within the specified financial limits.
- Maintain and manage the department's innovation and development backlog.
- Periodically review the relevance and priority of the backlog alongside the Department Head.
- Hold Creative Leaders accountable for their continuous development commitments, including team processes, tools utilized, output quality, quantity, and cost-efficiency.
- Ensure accountability is maintained across the board, including for the Department Head.
- Continuously observe and evaluate overall department operations.
- Independently identify operational bottlenecks and workflow inefficiencies.
- Propose strategic improvements and independently execute them upon approval.
- Note: You will not be handed data sources or predefined analysis methods. You are expected to define what metrics to measure, gather the data, and draw actionable conclusions independently.
- Speak and act on behalf of the Department Head with internal and external stakeholders for matters that do not require the Head's direct involvement.
- Exercise excellent judgment in determining which matters can be resolved autonomously versus which require escalation.
- Build genuine, professional, and strong working relationships with all parties interacting with the department.
Requirements
- Minimum 2–3 years of experience as an Account Executive, Traffic Controller, Project Manager, or Operations Executive in a creative agency, production house, or fast-paced startup environment.
- Strong proficiency in creative project management tools (e.g., Asana, Trello, ClickUp, or Monday.com).Solid understanding of creative production lifecycles (design, copywriting, video editing, photography).Capability to design and build basic data tracking or operational metrics from scratch (using Google Sheets/Excel).
- A true self-starter who does not wait for command and possesses an extreme ownership mindset.
- Confident in challenging briefs from other business units and capable of negotiating diplomatically.
- Comfortable handling ambiguity, tight deadlines, and shifting priorities calmly.
- Sharp intuition on when to back up the Department Head and when to filter out minor issues.
