Job Summary
The Payroll Customer Relations Specialist performs under the direct supervision of the Payroll Director and provides customer service support for the front desk of the Payroll Department. The specialist will be familiar with the payroll system and the Time & Attendance System, providing instruction to employees, timekeepers, and co-workers as needed. The role includes serving as backup for the Payroll Specialist, performing data entry functions, printing and distributing payroll reports, reconciling payroll deductions to invoices, and remitting deducted amounts to vendors.
The specialist must demonstrate the ability to work as a team member and possess the knowledge and skills to communicate effectively with employees, patients, families, and visitors of all age groups while being sensitive to their cultural and religious beliefs.
Performance Expectations:
Assist customers in the Payroll lobby with completing direct deposit forms, tax forms, retirement contribution forms, and other payroll-related forms.
Answer incoming calls and direct them to the appropriate person.
Efficiently route inquiries to the appropriate person for resolution, determining the purpose by asking follow-up questions.
Open, close, and maintain the lobby daily.
Handle all employment verification inquiries.
Coordinate supply orders.
Scan various Payroll documents to employee files.
Assist with processing new hire paperwork.
Distribute all incoming mail and faxes.
Perform a variety of clerical functions as assigned.
Maintain strict confidentiality for all department and hospital information as appropriate.
Exercise a high degree of tact, poise, and patience.
Demonstrate knowledge and skills to appropriately communicate with all customers/visitors of all age groups while being sensitive to their cultural and religious beliefs.
Qualifications:
Education: High school diploma or equivalent is required; higher education preferred. Typing speed of thirty-five WPM is required. Computer literacy is required, with proficiency in Microsoft Suites, including Outlook.
Work Experience: A minimum of one year of customer service/receptionist experience is required.
Mental Demands: Must be courteous, diplomatic, and cooperative while working with all customers (including applicants, employees, hiring managers, peers, and managers) and use tact, patience, and understanding in communication. Considerable initiative, judgment, and decision-making skills are required. The ability to communicate on all levels and a sincere interest in helping people are essential. Abilities must be flexible to accommodate the variety of tasks associated with Payroll Operations.
Must practice good guest relations at all times.
