Newport Printing Solutions (NPS) is a print and promotional products distributor located in Brea, CA. We are a family-owned company that exists to create print management experiences where convenience and creativity come together for our clients.

The Role: We are seeking a reliable and detail-oriented Order Entry Clerk to join our team. In this position you will be the order information liaison between our sales team, production partners, and clients. Your goals are to enter and maintain accurate data, proactively monitor order progress, consistently record order updates and issues, and quickly provide our sales team and customers with information and order documents.

This position requires technical aptitude of systems and processes and a high-level of attention to detail. You must have the instinct to stay organized and the ability to keep deadlines in mind when receiving and prioritizing incoming tasks. You will need to become an expert on our system to maximize efficiency and limit errors. Mistakes will happen, of course! But knowing how to catch and correct them proactively, troubleshoot when needed, and escalate appropriately will be important for the success of this role.

As an Order Entry Clerk, a typical day may include:

– Downloading and entering purchase orders into our system

– Updating prices, delivery dates, inventory statuses, and customer/vendor information

– Following up on quotes and orders placed with vendors and recording updates in the system

– Communicating with sales reps and clients on order updates, concerns, and suggestions (via phone, email, Teams, and in person)

– Running daily/weekly reports to conduct order processing & billing readiness follow-up

– Running weekly/monthly reports to analyze and recommend inventory reorders

On a technical level the Order Entry Clerk’s day may include:

– Consistently familiarizing themselves with our system to recognize temporary glitches or bugs that may impact their processes

– The use of critical and creative thinking to optimize workflows

– Occasionally work directly with our system’s support or IT team to resolve technical issues

This job may be for you if:

– You’re great with computer systems; tech savvy, eager to learn new software, and curious to experiment with new technology.

– You have a positive attitude, service-friendly personality, and work well in small teams (4-6 people in the office on average)

– You possess patience, empathy, superior communication skills, and the ability to think critically

– You love providing customers with a great experience from start to finish

– You have no problem staying organized during both low and high volume periods

Useful (but not required) skills include:

– Basic understanding of print file requirements (digital & offset)

– Knowledge of printing terminology: CMYK, spot colors, paper stock varieties, screen printing vs. heat transfer, run charges, etc.

– Basic understanding of distributorship models, printing, and/or promotional products

– History of working with a Sales team, either in a supporting or Inside Sales role

– Creative background (Adobe Creative Cloud, Marketing, Social Media, etc.)

Future growth opportunities may include:

– Assisting in creating product presentations for clients & curating features products for our online storefront

– Using vendor templates to prepare client artwork and small typesetting projects (Adobe Illustrator, Adobe Acrobat Pro)

– Client web store setup & maintenance

– Marketing/Social media content creation & strategy

Job Type: Full-time

Pay: $20.00 – $22.00 per hour

Expected hours: 40 per week
