The expected ENTRY pay range for this position based on experience and equity within the Judicial Branch is $21.23 to $23.38.

This position is non-exempt under the FLSA.

About the Position
The Administrative Assistant provides complex administrative support to the Civil department’s Justice System Administrator and Justice System Manager. The Administrative Assistant delivers outstanding customer service, manages calendars, coordinates projects and assignments, and provides overall administrative support to the Civil department.

Position Qualifications

Education:
High School Diploma or GED
Experience:
Three (3) years of responsible clerical and administrative experience
OR
Combined education and experience qualifications:
An equivalent combination of post-secondary education may substitute on a year-for-year basis
Knowledge, Skills, and Abilities:
Knowledge of:
Administrative and clerical procedures and systems such as Microsoft Office, managing files and records, designing forms and other office procedures and terminology
The structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
Skill in:
Advanced features of Microsoft Word, Microsoft Outlook, Excel and PowerPoint
Operation of office equipment including, but not limited to, calculator, fax machine, printer/copier, scanner, and computer terminal
Communicating verbally and in writing with others to convey information professionally and effectively
Establishing and maintaining constructive and cooperative working relationships with individuals from the public, all levels of the organization, and with stakeholders
Identifying problems, reviewing related information and recommending solutions
Excellent proofreading skills with an exceptional attention to detail
Ability to:
Maintain a thorough understanding of the Department’s role in supporting the Court’s Mission, Vision and Values
Maintain high levels of professionalism, confidentiality, and cultural sensitivity in all interactions
Analyze, interpret, and apply complex information
Accurately prepare and maintain records, files, and reports
Prioritize, organize, plan, and manage multiple assignments efficiently and effectively emphasizing on attention to detail.
Learn and master core business and support applications
Process and handle confidential information with discretion
Learn new skills necessary to support the needs and the mission of the Department and Court
Type a minimum of 35 words per minute with minimal errors
Essential Job Tasks

Prepares and prioritizes the management of calendars, meetings, and correspondence
Maintains management files and related documents while also troubleshooting software and technology issues
Resolves complex inquiries and complaints from the public, other agencies, and/or other staff
Creates, updates, and maintains complex spreadsheets, databases, and reports; compiles and analyzes data for reports
Evaluates, recommends and implements changes to work methods and procedures that increase efficiency.
Monitors staff movement and responds with necessary action, including updating phone lists and requesting service activation
Processes mail, answers the Civil Department main phone line, and assists at the front counter as needed
Acts as the receptionist for the management office and ensures outstanding customer service is consistently provided
Prepares and updates organization charts, contacts, and distribution lists; maintains filing and tickler systems in electronic and paper format
Maintains inventory and orders supplies for general office use
Assists with the scheduling of training and recruitment processes
Responsible for supporting the Internship Program through the recruitment, training, and ongoing guidance of interns to ensure a meaningful and productive experience for both the interns and the department.
Working conditions:
Requires occasional use of personal or county vehicle to travel to and from various court locations and events.
While performing the duties of this job, the employee is regularly required to speak clearly and hear; see details of objects that are less than a few feet away; sit for long periods of time; stand, walk, use hands to finger handle or feel; reach with hands and arms; and occasionally push, pull or lift up to 20 pounds. Typically, successful candidates are hired at a salary rate up to the midpoint of the range, based on applicable experience, internal equity, and budgetary allowances.

The Judicial Branch of Arizona in Maricopa County participates in the State Retirement systems ASRS or PSPRS. As such, mandatory membership for all full-time employees includes payroll deducted contributions consistent with each retirement system’s requirements. The current contribution rate for ASRS is 12.27% and the current contribution rate for PSPRS is 5.84% and up for the defined contribution plan and 8.82% for the defined benefit plan.
