GENERAL DESCRIPTION

Performs routine administrative support work for the Litigation Department. Work involves disseminating information, maintaining filing systems, and performing internal administrative support work. Performs routine filing and routing of litigation documents and reports. Performs routine (journey-level) administrative assistant work to support staff attorneys responsible for enforcement litigation. At the direction of Program Supervisor, responsibilities includes: mail out status letters, distributing mail and faxes, filing into the electronic file and updating a SQL database. Works under moderate supervision, with limited minimal latitude for the use of initiative and independent judgment. Reports to the Program Supervisor.

PRINCIPAL JOB FUNCTIONS INCLUDE SUPPORT FOR LITIGATION DEPARTMENT

10% Closure Letters
Merges, scans, and mails out 90-day status letters and closure letters for Respondents and Opposing Counsel on department legal cases.

25% Department Files
Track data work for records retention.
Move, organize, and delete electronic files per retention policy.

30% Support Staff for Program Supervisor
Maintains ISC Calendar
Print weekly case load summary.
Updates and maintains case status spreadsheet.
Takes meeting minutes.
Data entry.

10% Litigation Receptionist
Responsible for answering Litigation Department phone line.
Listens to Litigation Department voice messages and emails or forwards calls to appropriate TMB employee
Deletes messages after they have been addressed.

15% Other Legal Proceedings and Departmental Support
Special projects related to departmental needs.
Provides support for incoming mail, outgoing mail, scanning legal documents.
Provides backup support to other positions within the department.
Maintain office supplies.
Performs related departmental work as assigned.
Picks up and delivers outgoing mail to mail room.

EXPERIENCE AND EDUCATION
Graduation from standard senior high school or equivalent is required
A two-year Associate’s Degree from a college or university is preferred
Education and experience may be substituted for one another
Experience in administrative work preferred

Knowledge of office practices and procedures
Skills in operation of word processing and other standard office equipment
Skills in management of filing systems to assure accurate and rapid storage and retrieval of case documents

Frequent use of personal computer, copiers, printers, fax machines and telephones
Frequent sitting
Frequently working under deadlines, as a team member, and in direct contact with others
Compliance with all agency policies and procedures, including but not limited to applicable confidentiality, security and safety rules, regulations and standards
If hired, must provide document(s) within three days of hire date that establishes identity and employment eligibility
