Job Overview:Join our rapidly expanding real estate brokerage as we seek a skilled Executive Assistant to provide essential administrative support to our Chief Operations Officer.

Responsibilities:

– Coordinate travel arrangements, including accommodations, hotels, and transportation.

– Organize executive-level appointments, meetings, receptions, conference calls, and video conferences.

– Maintain constantly changing calendars using Outlook, ensuring alignment with the COO’s priorities.

– Serve as the primary point of contact for internal and external inquiries related to the COO’s office, handling them with professionalism and confidentiality.

– Complete special projects as assigned, demonstrating flexibility and adaptability.

– Prepare and review materials and correspondence for meetings, ensuring the COO is fully prepared.

– Assist in the creation and modification of presentations, spreadsheets, and other documents.

– Actively engage in teamwork, collaborating effectively with colleagues.

– Ensure the security and privacy of any protected health information accessed during work activities.

Requirements:

We are seeking someone with:

– A minimum of 3+ years of experience supporting C-level executives.

– Extensive experience in booking travel arrangements.

– Proficiency in drafting correspondence on behalf of executives.

– Strong organizational skills to manage complex calendars and schedules efficiently.

– The ability to thrive in a fast-paced, geographically dispersed, and rapidly changing environment, fostering collaboration and teamwork.

We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to our executive team. The ideal candidate will have excellent communication skills, be proficient in Google Suite, and have experience in office management and project coordination.

Duties:
– Manage executive calendars, including scheduling meetings, appointments, and travel arrangements
– Coordinate and prepare materials for meetings, including agendas, presentations, and reports
– Serve as the main point of contact for internal and external stakeholders, including clients, vendors, and partners
– Handle incoming and outgoing correspondence, including phone calls, emails, and mail
– Assist with document management, including organizing files and maintaining electronic records
– Coordinate projects and initiatives as assigned by the executive team
– Conduct research and compile information for various projects or reports
– Proofread documents for accuracy and consistency
– Assist with front desk duties as needed

Skills:
– Proficient in Google Suite (Docs, Sheets, Slides)
– Strong organizational skills with the ability to prioritize tasks effectively
– Previous experience as a personal assistant or executive assistant preferred
– Knowledge of office management procedures and systems
– Familiarity with file management systems and document signing tools (e.g., DocuSign)
– Excellent written and verbal communication skills
– Ability to handle confidential information with discretion
– Strong attention to detail and accuracy
– Proactive problem-solving skills
– Experience in project coordination is a plus
– Ability to manage multiple tasks simultaneously
