Front Desk Coordinator is responsible for exceeding patient expectations with regard to his/her experience and contacts with Coundouriotis Facial Plastic Surgery & Laser Center.
This responsibility includes communication and interface with patients and potential patients including scheduling treatments & procedures, appropriately answering questions and educating patients regarding treatments and procedures. It also includes all aspects of organizing front desk and staff for the beginning and end of day.
DUTIES AND RESPONSIBLITIES:
1. Communication with patients and prospective patients via telephone, email, office visits, and written correspondence as needed
2. Effectively scheduling time for all providers in order to maximize staff productivity and enhance patient experience
3. Preparation and maintenance of patient charts for all providers to insure accuracy and completeness.
4. Documented follow up with patients/prospective patients to insure total patient satisfaction with Coundouriotis Facial Plastic Surgery & Laser Center.
5. Input and maintain updated patient/prospective patient information in patient manager data base.
6. Effectively present Coundouriotis Facial Plastic Surgery & Laser Center to patients/prospective patients including but not limited to surgical and non-surgical procedures and treatments, skin care and treatments, retail products, the practice and Dr. Coundouriotis’s qualifications, training, expertise and his patient care philosophy. Always be aware of positioning Dr. Coundouriotis in all patient activity.
7. Appropriately document patient communications for accurate patient records and for keeping the doctor and staff informed of questions and/potential issues.
8. Review and accurately maintain daily/weekly schedule for doctor, nurses, aestheticians as appropriate.
9. Help to close business by converting patient inquires and questions into consultations and sales.
10. Assist in implementation of special sales/marketing projects as assigned
11. Organization, maintenance, and filing of patient records.
12. Assist in coordination and implementation of patient’s long term face plan.
13. Accurately invoice patients.
14. Effectively track, record and manage patient’s points, coupons, discounts, and treatment series to help present competitive affordability of face plan
15. Establish and foster teamwork with office staff, support groups, and medical contacts in a consistent, pleasant, and timely manner
16. Maintain awareness of activity and timing of all staff
17. Other duties as assigned
POSITION INTERACTION:
Reporting Responsibilities: Reports to Practice Manager.
Supervises directly: None
Directly assists: Patient Coordinators
Relationships: Internal: Nurses, Doctor (s), aestheticians, marketing, bookkeeping and support staff
External: All levels of patients and prospective patients and families; medical organizations; charitable organizations
QUALIFICTIONS AMD REQUIREMENTS:
Education: College degree or equivalent preferred.
Experience: Prefer experience working directly with customers and having responsibility for customer retention. Proficient in computer skills and administrative functions; Skilled in written communication and follow through; .Knowledgeable of scheduling software packages; Sales ability and excellent interpersonal and oral skills critical.
