About the Role 

The Data & Operations Specialist supports Business Development and Marketing teams by managing high-volume data and operational tasks that power the outreach pipeline. This role ensures that data within the CRM and lead management systems is accurate, clean, well-organized, and properly routed to regional teams, while also providing reliable operational support for marketing and corporate events. The ideal candidate is highly detail-oriented, comfortable in Excel and data systems, process-driven, and able to follow documented workflows precisely.

What You'll Do

List Management & Data Cleanup

  • Process conference and event attendee lists through the CRM to classify contacts, check ownership status, and route them to the appropriate regional teams.
  • Deliver clean, sorted contact lists to marketing and business development teams before and after events.
  • Perform deduplication, standardization, and quality checks on contact and organization lists (resolving duplicate entries, filtering out incomplete/test responses, and standardizing naming conventions).
  • Execute data-cleaning processes for corporate surveys following established protocols (flagging unusable responses, standardizing open-ended category recodes, and preparing files for database upload and downstream analysis).

Targeting & Lead Scoring Support

  • Work in coordination with analytical teams to process contact lists through established customer profiling and lead prediction workflows.
  • Deliver scored and prioritized prospect outputs to leadership and regional teams.
  • Support overall data hygiene within the CRM, including field standardization and database record cleanup.

Operational & Administrative Support

  • Coordinate with inventory and materials management vendors regarding tracking, ordering, and fulfillment logistics for events.
  • Maintain and update materials inventory lists.
  • Create and format documents for conference and event collateral (such as nametags), ensuring they are ready for production.
  • Organize and maintain internal document repositories and shared folders following established folder naming and governance standards.
  • Properly catalog, rename, and file digital media assets (such as video and photography) following events.
  • Provide ad hoc operational and administrative support to marketing teams as directed.

What We're Looking For

  • 3-5+ years of experience in data operations, list management, marketing operations, or a related field.
  • Advanced proficiency in Microsoft Excel (VLOOKUPs, deduplication, sorting, filtering, text-to-columns).
  • Experience working with CRM platforms (preferably HubSpot) for contact management and list segmentation.
  • Strong attention to detail and a commitment to data accuracy.
  • Ability to follow documented, multi-step processes precisely and flag issues when data does not conform to expected patterns.
  • Excellent organizational skills and the ability to manage multiple concurrent data projects.
  • Strong written English communication skills for status updates, process questions, and deliverables.

Preferred 

  • Experience with survey data platforms (Qualtrics or similar) for data export, cleaning, and uploading.
  • Familiarity with SharePoint or similar cloud file management systems for document and folder organization.
  • Experience in a professional services, consulting, or marketing operations environment.
  • Exposure to lead scoring, customer profiling frameworks, or account-based marketing data workflows.

Working Model

This is a remote role. Strong responsiveness, proactive status communication, and the ability to work within U.S. business hour overlap windows are required.
