Overview:
Seeking a highly organized and tech-savvy Executive Assistant for an award-winning photographer, author, and filmmaker. This part-time role will involve managing personal tasks, office operations, scheduling, travel coordination, website and social media management, maintaining digital databases, a historic archive, and assisting with inventory and shipping of limited edition photographs. The ideal candidate will be efficient, adaptable, and able to juggle multiple responsibilities in a fast-paced environment.
Key Responsibilities:
Personal Assistance:
Manage day-to-day tasks including scheduling, emails, personal errands, and family event coordination
Office Management:
Maintain office organization, manage supplies, and oversee server and database management (including digital file organization).
Scheduling & Communication:
Oversee calendar, prioritize appointments, and manage communications with clients, agents, and collaborators.
Database, File & Historic Archive Management:
Organize and update contact databases, project files, and track deadlines.
Manage and organize a digital archive of historical photographs, manuscripts, and projects, ensuring that materials are properly cataloged, stored, scanned, and accessible for future use or publication.
Website & Social Media Management:
Oversee and update the website, manage social media accounts, and assist with email marketing campaigns to engage followers and promote projects.
Inventory & Shipping:
Assist with inventory management of limited edition photographs, ensuring accurate tracking and documentation.
Support the shipping process for original artwork, including packaging, labeling, and coordinating with shipping services to ensure safe delivery.
Travel Coordination:
Book and manage domestic and international travel logistics (flights, accommodations, transportation).
Qualifications:
5+ years of experience as a personal assistant or administrative support role.
Strong knowledge of office tools (Google Suite, Microsoft Office), Filemaker Pro or similar database software.
Experience managing PC office computers and server.
Excellent communication, organizational, and time-management skills.
Discretion and professionalism when handling historical archives and sensitive information.
Compensation: $35/hour
Availability: Flexible with part-time hours, three to four days per week. Willingness to occasionally adjust to urgent tasks or changing schedules when available.
