At Onspring, the Office Manager and Special Projects Coordinator is the Swiss army knife of the organization. The person in this role collaborates with all Onspring employees and is integral to building and maintaining the culture at Onspring. The Office Manager and Special Projects Coordinator will have a wide range of responsibilities through leadership and/or support of nearly all of our internal events, initiatives, and projects.
Responsibilities:
Work with leaders to plan, coordinate, and run all internal meetings. This includes:
Creating and managing the agendas
Managing all communications
Planning and ordering meals/food for meetings
Finding, booking, and managing any offsite meeting locations
Managing set up and take down for meetings
Manage all slides, videos, and presentation materials for meetings
Finding and managing all vendor relationships for events
Managing any internal event-related budgets
Support Onsprings Marketing Team in planning and coordinating external GRC Days events.
Create and maintain procedures for employee use of office spaces and equipment.
Keeping up the appearance, maintenance, and repair of all internal office spaces, supplies, and equipment. This may involve light cleaning at times as well as coordinating with building maintenance and outside janitorial and repair services.
Order and organize all Onspring office supplies (e.g. batteries, printer ink/toner, paper, etc.).
Order and manage all snacks and beverages for Onspring headquarters. This includes consistent monitoring and restocking items when needed.
Serve on the Employee Experience Committee alongside other Onspring leaders.
Manage and coordinate all things related to our employee perk/incentive travel program, Destination Onspring (via Inspirato).
Lead all reception and front desk security tasks. This includes answering the office phone line during business hours, helping visitors to sign in/out at the front desk, and providing visitors with proper credentials for their time in the office.
Assist members of the Founders Team with travel arrangements, expense reports, and special projects on an as-needed basis.
Collaborate with internal teams and leaders to plan, create, and distribute an internal newsletter for Onspring employees.
Help to plan and execute other internal initiatives and special projects (e.g. New Hire Orientation, new hire and holiday gifts, customer holiday cards, etc.).
Required Skills and Experience:
2+ years of experience managing a fast-paced corporate office environment
Experience planning and executing meetings for up to 100+ people to include managing the agenda, meals, presentations, and communications.
The ability to collaborate across all levels of leadership, including C-level executives.
Previous experience managing a wide range of vendor relationships for all in-office needs to include events, maintenance/repairs, security, office supplies, etc.
Experience managing communication to/from clients and internal team members in a professional and timely manner.
Experience in creating, documenting, and maintaining processes related to the functions of a corporate office environment.
The ability to lift up to 45lbs. (ideal, not required)
