The Department Assistant, Malls, shall work along with the Senior Director, Malls and will be responsible for supporting the day-to-day running of the department with administrative and secretarial work.
In detail, the Department Assistant, Malls will be responsible:
- Control and implementation of all SAP related leasing procedures.
- Monitoring department expenses by handling SAP purchase orders and invoices.
- Organizing appointments, travel arrangements, screening phone calls, attending department meetings, keeping relevant minutes/notes.
- Filling and generating reports, suppliers’ contracts, and relevant presentations required by the Department.
- Providing support for presentations and events.
- Acting as a liaison with the other departments within the Company, as well as with suppliers, agencies, and clients.
- Additional day-to-day duties as required.
- Coordinates EFKA documentation for Construction needs of Malls, and APD submissions.
You will be a successful candidate for our job opening, if you can identify yourself with the following criteria:
Academic Qualifications:
- Ideally, holds a university degree in a relevant area of study i.e. in Business Administration, Economics etc..
- Excellent written and oral command of the English language (a Proficiency degree would be considered a plus).
- Excellent use of MS Office.
Professional Experience:
- At least 5 years of relevant professional experience, as a Personal Assistant or in a similar administrative position.
- Preference for operating knowledge of SAP.

- Has strong organizational skills, a solid sense of responsibility, flexibility, and adaptability.
- Perform with discretion and confidentiality.
- Should be motivated, organized and able to work effectively in a demanding environment.
- Is able to prioritize, perform well under pressure and handle multiple assignments, while keeping an eye on the deadlines.
- Can anticipate upcoming needs, have a problem-solving attitude and a forward mindset.
