Job Description
Position Summary
Under supervision of the Department Administrator, the Department Coordinator provides administrative and operational support to the Department of Psychological Sciences. The position will be the first point of contact within the Department and assists with walk-in traffic, general inquiry phone calls, and emails. The position will be also responsible for assisting with events, making travel arrangements, and maintaining calendars and various department resources and databases.
This is a part-time position with 20 hours per week work schedule.
Hourly Rate
: $20.00 per hour.
Required Qualifications
High School diploma or equivalent
Two (2) years of administrative experience.
Skills
Proficient computer skills and demonstrated experience with office software and email applications, primarily Word, Excel, and Outlook.
Demonstrated success in taking initiative, follow-through, and completing routine tasks.
Advanced organizational skills andattention to detail
Excellent verbal and writtencommunication skills
Excellent customer service and interpersonal skills
Ability to prioritize and multi-task.
Preferred Qualifications
Experience working in an institution of highereducation.
Experience working with Oracle ERP system.
Essential Functions
Coordinates administrative and/or business functions including, but not limited to: budget/finance, human resources, facilities management,communicationand/or outreach.
Generates routine communications; coordinates production (formatting, copying, etc.) and distribution of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, complex reports, brochures, and displays.
Serves as the first point of contact for the department and assists with walk-in traffic, general inquiry phone calls and emails; provides overall office support such as addressing copier malfunctions; responsible for distribution of emails that are of interest to the pertinent listservs within the department and across campus.
Maintains office supplies, distributes mail, and maintains the overall appearance of the department common areas.
Maintains the department calendar, schedules meetings, makes travel arrangements for visitors, collaborators, faculty candidates and prospective students.
Assists with organization and implementation of seminars, and events; tasks may include ordering food, putting in work orders, and assisting with advertisement and marketing of the event.
Performs other duties as assigned.
Additional Functions / Information
Collects commencement attendance forms and orders regalia.
Gathers submission materials for commencement awards and prepares award certificates, letters, and/or cash prizes.
Communicates with the Dean’s Office staff to maintain the department website and keep itup-to-date; maintains the department bulletin boards.
Assists with on-boarding of new faculty and staff such as requesting office keys and ordering business cards, orders keys from RUPD and requests keypad access for graduate and undergraduate students in labs.
Assists Program Administrators and Department Administrator with some of the financial tasks such as expenses and reimbursements, as needed.
