Department Coordinator (Hybrid Opportunity)

The School of Humanities and Sciences (H&S) is the foundation of a liberal arts education at Stanford. The school encompasses 24 departments and 25 interdisciplinary programs. This position supports the Department of Linguistics and the Symbolic Systems Program.

POSITION SUMMARY:

Our team is looking for a highly organized and adaptable individual to be a central point of contact in the Department of Linguistics and Symbolic Systems Program Main Office. The Department Coordinator is a key member of our small team and assists faculty, staff, students, and visitors with their communications and logistical needs. Duties may include, among other tasks: room schedule management; event planning; hiring and managing student workers; coordinating facility and equipment needs; financial transaction processing; supply inventory and orders; updating website content; responding to general inquiries; and providing general administrative support for faculty and staff.

The Department Coordinator must possess and demonstrate a positive outlook on continuous process improvement efforts while maintaining a team-based and customer-focused mindset. It is critical that this position exhibit the abilities to practice sound judgment and decision-making, effective written & oral communication, strong attention to detail, and respectful relationship management. This position must also exhibit a strong desire to continuously learn new and unfamiliar business topics, policies, and procedures as they relate to department needs – the ability to translate this information into operational successes will be critical.

This is a 100% FTE, non-exempt, continuing position. This position will be based on the Stanford campus and will be considered for an option of telecommuting (hybrid of working on-site and off-site), subject to operational need.

CORE DUTIES:

Respond to inquiries and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.

Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors.

Draft and/or generate routine communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, complex reports, brochures, and displays.
