We are seeking a dedicated and organized Office Administrator to join our team at Rogers, Clem and Co. We are a fast pace Certified Public Accounting Firm, located in Covina, CA. The ideal candidate will be responsible for ensuring the smooth operation of our office, providing administrative support, and maintaining effective communication within the organization. This role is essential for enhancing productivity and fostering a positive work environment.

Duties

Manage front desk operations, including greeting visitors and answering phone calls with professionalism and courtesy.
Oversee calendar management, scheduling appointments, and coordinating meetings for staff members.
Utilize Google Suite and other software tools to create, organize, and maintain documents and records.
Provide administrative support by typing correspondence, reports, and other documents as needed.
Assist in managing office supplies inventory and placing orders when necessary.
Maintain a clean and organized office environment to promote efficiency.
Communicate effectively with team members and clients, ensuring all inquiries are addressed promptly.
Support various projects as assigned by management, contributing to the overall success of the office.
Maintain client database and client file management (digital and physical).
Prepare engagement letters and client communication.
Maintain office supplies.

Qualifications

Proven experience in an office administration role or similar position is preferred.
Strong computer literacy with proficiency in Google Suite applications (Docs, Sheets, Calendar).
Typing speed 50-60 WPM required
Excel working knowledge of basic formulas required
Excellent phone etiquette and interpersonal skills to interact with clients and colleagues effectively.
Exceptional organizational skills with the ability to manage multiple tasks simultaneously.
Familiarity with calendar management tools and techniques is essential.
Ability to work independently as well as part of a team in a fast-paced environment.

Pay: $24.50 – $30.00 per hour
