Deputy Clerk – Office Manager Jobs in Killeen, TX at Bell County

Job Description:

The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.

Provides administrative support and manage office functions; prepares and edits memoranda, proclamations, agenda items, and other correspondence; compiles reports and status updates; coordinates with other county departments or outside agencies on special projects.

Assists administrative officer; updates and maintains calendar and meeting schedule; makes travel arrangements and reconciles travel costs.

Receives, reviews, sorts, and distributes mail; ensures proper distribution of communications, flags urgent information and communicates priorities to the appropriate person.

Maintains filing system logs and keeps records and reports; performs records management.

Manages and provides accounting, budgeting, procurement and payroll support and services; posts vouchers for payment, reviews requisitions and invoices.

Monitors budget expenditures and inventory; helps identify and prepare budget goals and objectives; inputs budget information into system and generates budget status reports; maintains accurate inventory records.

Manages the records retention process; ensures records are retained, stored, or destroyed in accordance with open records regulations.

Orders supplies, furniture, and equipment; ensures compliance with purchasing requirements; authorizes petty cash expenditures.

Assists in the maintenance of employee time reports and payroll documentation; resolves any payroll, accounts payable, and revenue issues.

Provides human resource administrative support and services; maintains performance review data; updates personnel files.

Interacts with management, other departments, supervisors, vendors, employees, and the public; provides accurate information to inquiries and responds to complaints.

Serves as a liaison for the department to facilitate the dissemination of information; represents the department at various meetings.

Performs related work as required.

Minimum Education and Experience Requirements:

Requires High School graduation or GED equivalent and four (4) years of progressively responsible experience providing administrative support; or an equivalent combination of education, training, and experience.

Physical Demands:

Performs sedentary work that involves walking or standing some of the time and involves exerting up to 20 pounds of force on a regular and recurring basis or sustained keyboard operations. Mostly items such as moving files, boxes of paper, water.

Special Certifications and Licenses:

Must possess and maintain a valid state driver’s license with an acceptable driving history.

Pay will be based on qualifications and will range between a 208/1 $19.10/hr. to 208/13 $23.56/hr.
