Main responsibilities:
The Deputy Manager supports the Head of Administration in managing the full spectrum of administrative operations. The role oversees office operations, fleet management, logistics coordination, facilities and asset management, procurement support, vendor engagement, HSSE compliance and ESG-related initiatives. The Deputy Manager is responsible for monitoring service quality, resolving operational issues, improving processes and ensuring coordination across departments. This position contributes to budget management, reporting and continuous improvement efforts.
Tasks:
- Support the Head of Administration in formulating and executing departmental strategies that enhance service delivery, operational readiness and organisational resilience.
- Oversee daily administrative operations, including office management, travel arrangements, fleet management, logistics coordination, facilities services and asset management.
- Review procurement requests, contracts, quotations and vendor performance.
- Monitor fleet management, including vehicle inventory, fuel management, servicing, maintenance and related requirements.
- Supervise and monitor the performance of pool drivers.
- Implement continuous improvements to strengthen internal controls, administrative risk management and audit readiness.
- Perform other related duties as assigned from time to time by Management and/or the immediate superior.
Requirements:
- A minimum Bachelor's Degree in Business Admin (related to Management/Office Administration or equivalent);
- A minimum of six (6) or more years of experience in administration;
- Demonstrates a customer service mindset, value-driven and people-focused;
- Proficiency in the use of MS Office suite including MS Excel, MS Word and MS PowerPoint is essential;
- Proficiency in spoken and written English and Bahasa Malaysia is required;
- Excellent report writing and presentation are essential;
- Being self-motivated, analytical, resourceful and having strong integrity are important qualities; and
- A good working attitude and willingness to travel are expected.
