Cedar River Montessori School is seeking an organized, dynamic, and highly motivated individual to join our team as an Office Assistant. This role combines administrative support with office management responsibilities to ensure the efficient operation of the school office and school community. The ideal candidate will have excellent communication skills, the ability to manage multiple tasks, and a passion for working in an educational environment. Key Responsibilities:
Administrative Support
Greet visitors, students, and parents, providing assistance and directing inquiries to appropriate staff members.
Answer and direct phone calls, take messages, and ensure timely follow-up.
Handle incoming and outgoing correspondence, including emails, physical mail, and packages.
Maintain and update student records, files, and databases in compliance with privacy regulations, including annual immunization reporting.
Prepare and manage school documents and communications, including weekly and monthly newsletters, bulletin boards, and annual yearbook.
Assist with scheduling appointments, meetings, and events, coordinating with staff, students, and parents.
Create graphics for events, marketing, and social media.
Office Management
Oversee the daily operations of the school office, ensuring it runs smoothly and efficiently.
Maintain entry and lobby area, keeping it tidy, neat, and aesthetically pleasing.
Order and maintain office supplies and equipment, ensuring availability for staff use.
Coordinate with vendors and service providers for routine maintenance and repairs of office equipment and school laptops and computers.
Student and Parent Interaction
Assist with the enrollment process for new students
Communicate important school events, dates, and notices to parents, students, and staff.
Maintain attendance tracking and follow up on student absences.
Help with scheduling parent-teacher conferences and school events.
Provide support to students and families.
Supervise students who may need a reading or work break in the lobby area or who may be ill and waiting for a parent to pick them up.
Support for Administrative Leadership and Other School Staff
Provide support to teachers.
Assist with daily school car line (arrival/dismissal).
Supervise daily recess.
Substitute in classrooms as needed (minimum once per week).
Manage school-wide communications, including bulletin boards, weekly and monthly newsletters, and other communication as needed.
Supervise students who may need a reading or work break in the lobby area or who may be ill and waiting for a parent to pick them up.
Provide administrative support to school leadership.
Coordinate and support the execution of school events.
Manage school calendars.
Coordinate staff birthday cards.
Track and update school library books.
Oversee lost and found area, including posting photos in parent communication and laundering/donating unclaimed items on a monthly basis.
Other tasks as assigned.
Qualifications:
High school diploma or equivalent; associate’s or bachelor’s degree in administration, education, or a related field preferred.
Proven experience in an administrative or office management role, preferably in a school or educational setting.
Excellent organizational and time management skills with the ability to multitask and prioritize effectively.
Strong written and verbal communication skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and general office equipment (copiers, laptops, etc.).
Ability to work independently and as part of a team.
Discretion and the ability to handle confidential information with integrity.
Pass federal and state background checks.
Friendly, approachable, and professional demeanor.
Experience with school management software and student information systems is a plus.
