POSITION OVERVIEW:Under the supervision of the Deputy Executive Director, the Director of Administration is responsible for the overall operations and compliance of the Mental Health Article 31 clinic, which serves approximately 400 clients annually. The Director is responsible for ensuring overall administrative and fiscal viability of the clinic by providing high quality services in accordance with regulations. This position is part of the senior management team of Hudson Guild.

QUALIFICATIONS:The Director of Administration must have at minimum; a Bachelor’s degree in a related field, 3 to 5 years’ experience in a medical/healthcare work environment, knowledge of medical billing and health insurance, as well as experience with administration and operation responsibilities and supervision of staff. The Director must have proficiency in google suites, Microsoft office and electronic health records with an ability to build reports and analyze data. He/She/They must possess excellent interpersonal skills, time management, attention to detail, organizational and communication skills and maintain the integrity of the organization at all times.

RESPONSIBILITIES:

Develop and adhere to budget through the control and monitoring of staff levels of service and billing processes.

Meet with Fiscal monthly to review program budget and forecast levels of service.

Manage billing to ensure billing accuracy and timeliness

Assist with the recruitment, supervision, and training of staff.

Serve as the program’s AWARDS (EHR) Administrator

Work collaboratively with the Director of Clinical Services to provide accountability for all documentation including charting, billing, incident reporting, responses to external and internal audit processes, including corrective actions as needed.

Lead meetings and facilitate training in order to support the professional development and learning needs of all program staff.

Lead the Internal Review Committee (IRC) monthly meetings.

Initiate and maintain managed care contracts, and participate in quality assurance programs with enhanced reimbursement rates, as needed.

Develop, track and analyze program outcome measures to identify and implement necessary operational and compliance changes for the program.

Supervise the program’s administrative team to ensure day-to-day clinical operations are met, i.e. patient schedules, insurance verification and processing, billing, patient waiting room flow, etc.

Maintain a working knowledge of community resources and current trends that affect mental health services.

Represent the mental health program in community and interagency activities.

Participate in identifying funding opportunities for program expansion.

Perform other duties as assigned.

WORKING CONDITIONS:Typical office environment that requires frequent sitting, standing, walking, talking, hearing & reaching. Occasional stooping, crouching, and kneeling. As well as travel to multiple locations within the five boroughs as needed.

PHYSICAL REQUIREMENTS:Occasionally lift and/or move up to 25 pounds. Frequently read printed materials and computer screens. Frequently operate a computer keyboard, mouse, & other office equipment.
