Role Overview:
We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to support the Director in managing day-to-day operations, strategic coordination, and executive-level tasks. This role demands strong multitasking abilities, discretion, and the ability to anticipate needs in a fast-paced environment.
Key Responsibilities:
1. Executive Support
- Manage calendar, schedule meetings, and optimize time management
- Handle emails, correspondence, and follow-ups on priority matters
- Prepare reports, presentations, and briefing documents
2. Meeting & Coordination
- Organize meetings, agendas, and required materials
- Record Minutes of Meetings (MOM) and track action items
- Coordinate internal and external stakeholder meetings
3. Travel Management
- Plan domestic & international travel (flights, hotels, logistics)
- Ensure all travel documentation (visas, itineraries, insurance) is in place
4. Administrative Management
- Oversee office administration and resource management
- Handle expense tracking and reporting
- Ensure smooth day-to-day functioning of the Director’s office
5. Project & Stakeholder Support
- Assist in project tracking, reporting, and documentation
- Coordinate with internal teams and external stakeholders
- Act as a liaison on behalf of the Director
6. Decision Support & Confidentiality
- Gather data and prepare reports for decision-making
- Handle sensitive information with high confidentiality and discretion
7. Technology & Systems Management
- Use and manage tools like MS Office, Google Workspace, CRM systems
- Work on ERP / FMS software (mandatory)
- Drive process improvements and automation wherever possible
Required Skills & Qualifications:
- 8–10 years of experience as an Executive Assistant
- Bachelor’s degree or equivalent experience
- Strong proficiency in MS Office & Google Workspace
- Hands-on experience in ERP / FMS software (mandatory)
- Excellent communication and interpersonal skills
- Strong organizational and time management abilities
- High attention to detail and problem-solving mindset
- Ability to work independently and handle multiple priorities
