Job Summary:
The Administrative Specialist at Harmony Bridge is responsible for providing High-level administrative support to ensure the smooth operation of day-to-day business functions. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The Administrative Specialist will work closely with the Operations Specialist and other departments to support operational processes, maintain records, and facilitate communication.
Key Responsibilities:
Provide administrative support to the Operations Specialist and other departments as needed.
Manage and maintain accurate records, files, and documentation in compliance with company policies.
Manage scheduling appointments, meetings, and conference calls.
Prepare reports, presentations, and correspondence for internal and external communication.
Handle data entry, document processing, and record-keeping efficiently and accurately.
Coordinate office supply inventory and manage procurement requests.
Serve as a point of contact for internal and external inquiries, directing them to the appropriate personnel as necessary.
Ensure compliance with administrative procedures and company standards.
Participate in special projects and initiatives to enhance administrative operations.
Maintain confidentiality and uphold professional integrity in all administrative activities.
Qualifications and Requirements:
Associate’s or Bachelor’s Degree in Business Administration, Office Management, or related field preferred.
Minimum of 2 years of administrative experience, preferably in a healthcare or ABA therapy setting.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools.
Excellent written and verbal communication skills,
Ability to manage multiple tasks efficiently and work independently with minimal supervision.
High level of accuracy, attention to detail, and problem-solving skills.
Strong organizational skills with the ability to prioritize and meet deadlines.
Familiarity with medical billing, compliance regulations, and HR processes is a plus.
Professional demeanor and ability to interact with staff, clients, and external partners in a courteous manner.
Working Conditions:
Office-based role with occasional remote work flexibility.
Standard business hours with occasional extended hours based on operational needs.
