POSITION PURPOSE

We’re seeking a dynamic People & Planning Coordinator/Office Manager who will champion this ethos by delivering exceptional human resources and administrative support to associates across all company divisions. This vital role is instrumental in fostering OCI’s positive workplace culture, supporting key HR functions such as talent acquisition and organizational learning, while ensuring smooth daily office operations. KEY RESPONSIBILITIES:
Human Resources Support (60%)
Talent Acquisition, Onboarding & Offboarding
Post job openings across internal and external platforms.
Coordinate with hiring managers to clarify job requirements and hiring needs.
Screen resumes and conduct initial candidate phone screenings.
Schedule interviews and coordinate interview logistics with candidates and hiring manager/team.
Maintain and update applicant tracking system (ATS).
Ensure processes are consistent with company and legal expectations.
Use various channels to source candidates, including collaborating with third-party recruiting companies when necessary.
Execute associate offer letters and employment agreements.
Process pre-employment requirements such as background checks, reference checks, and I-9 verification.
Facilitate new associate onboarding/offboarding process.
Prepare new hire documentation and welcome materials such as welcome packets, SWAG, orientation schedule, etc.
Coordinate offboarding process with exiting associate including exit interviews, final pay, benefits, COBRA, and other offboarding logistics.
Partner with local colleges and universities for summer internship program.
Ensure job descriptions are current and consistent and appropriately define the role and responsibilities of each position.
Learning & Development
Manage the execution of OCI’s Learning & Development program (LEAD) and Oppenheimer Leadership Academy (OLA).
Coordinating logistics, facilitating communication with participants, and ensuring smooth program delivery.
Assist with content development, track engagement, and contribute to continuous improvement efforts to enhance leadership development initiatives.
Identify learning and development opportunities at the individual contributor level to increase company-wide skills, knowledge, and practice.
Research training resources to address training needs outside the scope of internal training capabilities.
Leverage existing L&D platforms such as LinkedIn Learning, and drive adoption of the resources and tools available.
Launch and manage the annual performance review process through Paylocity Performance Management module. Provide guidance and support to associates and managers throughout the process.
Lead the design, launch, and administration of the biennial Cultural Assessment. Analyze results and conduct deep-dive meetings with divisions to review results, provide insights, and assist developing action plans.
Actively contribute as a member of the DEI Council to promote inclusion and belonging.
Administrative Support (15%)
Calendar support for CEO/Chairman, as well as backup support for Executive Assistant.
Route ODC tenant maintenance requests.
Provide administrative support for divisions, including the President and CFO as needed.
Schedule meetings and manage meeting coordination and logistics (internal/external).
Oversee records management – offsite storage/Iron Mountain – internal/Kwiktag.
Assist the People & Planning Manager in benefits administration and compensation analysis/reviews.
Assist with internal HR-related inquiries.
Manage HRIS system (Paylocity).
Maintain accurate tracking of company turnover rates and data insights.
Schedule department quarterly strategic planning meetings in conjunction with Director of Strategic Planning.
Coordinate presentation logistics for Quarterly Town Hall meetings and the Annual State of the Business, in collaboration with department leaders.
Assist in planning corporate events; OCI Service Awards, OCI Summer Picnic, Holiday celebration, in-office social hours and celebration days, and other events as needed.
Work alongside Lumen Creative to maintain company website accuracy and presentation.
Other duties as assigned.
Office Management (25%)
Greet customers and notify the appropriate associates.
Assist with conference room scheduling and lunch meeting coordination.
Manage and maintain mailing system – distribute mail to appropriate associates.
Maintain workroom cleanliness and organization, order office supplies.
Maintain kitchen cleanliness and stock items daily. Manage kitchen supplies inventory and budget (snacks, drinks, paper goods)
Manage third-party vendors such as shredding, plant maintenance, mailing/shipping, food/beverage, etc.
Coordination and tracking of parking validation program.
Oversight of office budget – tracking and entering purchases into Great Plains software.
Coordinate office/desk space moves or changes.
Oversee company emergency and safety management.
Distribute companywide announcements.
Organize monthly associate birthday/anniversary recognition. Distribute monthly birthday/anniversary calendar.
Manage service milestone award program and peer to peer recognition.
QUALIFICATIONS:
Bachelor’s degree in Human Resources or an equivalent combination of education and related work experience.
Minimum of 3-5 years of human resources experience is preferred.
Minimum of 2-3 years’ experience in office management and or/administrative assistant in a corporate environment.
Excellent verbal and written communication skills – must be comfortable presenting.
Over the top customer service skills.
High degree of professionalism.
Excellent organizational skills and attention to detail.
Ability to multitask with high level of accuracy, follow-through, and detail-orientation.
Ability to maintain a high level of confidentiality.
Proficient in Microsoft Office Suite and Microsoft Teams.
Experience using HRIS systems; Paylocity preferred.
SHRM Certification preferred.
Must be able to lift up to 40 pounds.
Must be able to work onsite, 8:00am – 5:00pm.
