DESCRIPTION

This position involves confidential administrative, secretarial/clerical work at the executive level. The Executive Assistant III supports the Executive Director of Curriculum, Instruction, and Assessment, the Executive Director of Special Education, and the Director of Curriculum, Instruction, and Assessment. This position performs a variety of complex administrative, clerical, and secretarial functions to maintain operations throughout the division. The Executive Assistant exercises confidentiality and independent judgement and action in accordance with delegated responsibilities throughout the Department of Curriculum, Instruction, and Assessment from assigned supervisors.

MINIMUM QUALIFICATIONS

A combination of education and experience may be considered.

Education:

High school diploma (or GED equivalent).

Experience:

Six (6) years of clerical/secretarial experience with increasing responsibilities, that includes clerical, secretarial, and administrative support in an office setting with a high school diploma (or GED equivalent).

OR

Four (4) years of clerical/secretarial experience with increasing responsibilities, that includes clerical, secretarial, and administrative support in an office setting with an Associate’s degree from an accredited college or university.

PREFERRED QUALIFICATIONS

Bachelor’s degree in business administration or related field from an accredited college or university.

Experience providing administrative/secretarial support in a PreK-12 school system.

One year of work experience with computer technology to include Microsoft Office Suite (e.g., Outlook, Excel, Word, Access, PowerPoint, Teams) and Google Workspace (e.g., Drive, Docs, Sheets, Slides, Meet).

ESSENTIAL POSITION RESPONSIBILITIES

Provides administrative, secretarial, and clerical support to the Executive Directors and Director, including those of a confidential nature.

Prepare data and reports for Board of Education meetings.

Prepares and edits correspondence for a variety of stakeholders.

Utilizes technology to create and maintain electronic databases, reports, spreadsheets, logs and other information, as related to the functions of the department.

Organizes and maintains files to support office functions.

Orders, distributes, and keeps an inventory of supplies.

Works collaboratively with staff in the Department of Curriculum, Instruction and Assessment to support department initiatives and projects.

Maintains financial records related to the Department of Curriculum, Instruction and Assessment.

Prepares and processes payments, purchase orders, direct payments, and other financial requests for the department.

Assists in the preparation of budgets.

Schedules meetings and maintains the calendar for the Executive Directors and Director.

Prepares agendas for meetings and sends notices of meetings; takes minutes as necessary.

Working Hours

The duty day for this position is 7 hours including a one hour duty-free lunch.

SELECTION CRITERIA

Applicants who meet the minimum qualifications will be included in further evaluation. Interviews will be limited to those applicants who, in addition to meeting the basic requirements, have experience and education which most closely match the position qualifications and the needs of the school system.

Applicants may be required to complete a skills assessment prior to or during the interview process.

EMPLOYMENT INFORMATION

Compensation

This is a 12 -month per year position in the Howard County Education Association, Educational Support Professionals (HCEA-ESP) employee unit. The current salary range for this position is Grade 2 3 on the Technical Central Office and School Based salary scale, $ 56,202 – $ 104,587 . Step placement will be in accordance with the salary procedures of the Howard County Public School System and the HCEA-ESP Master Agreement which considers relevant prior experience. Under the Fair Labor Standards Act, this position is exempt from overtime.

Telework Program

Under the HCPSS Telework Program, this position is eligible for a hybrid telework schedule . Telework schedules will be determined by the department and/or supervisor. Telework during the probationary period will be subject to approval and based on the needs of the department and the school system.

Retirement

Membership in the Maryland State Retirement Agency (MSRA) pension plan is a mandatory condition of employment for all employees who meet the eligibility and membership criteria defined in the State Personnel and Pensions Article and the Code of Maryland Regulations (COMAR). A qualifying employee cannot reject membership, nor can an ineligible employee elect membership. The annual contribution to the pension plan will be 7% of an employee’s annual salary .
