What to expect
We are looking for an Administrator/Document Controller to work in a supportive, friendly environment. You will be expected, under the guidance and direction of the Senior Information Manager, to maintain all documents for each project ensuring documents are in place for the Project to start. To ensure that that all information is distributed to the correct individuals to facilitate timely project completion in addition to maintaining the company's document control database ensuring that all company documentation is renewed and completed before expiry.
Tasks And Responsibilities
• Supporting with managing and maintaining document control processes and procedures for all shared,
published, and archived documentation in line with company processes and procedures.
• Follow established standards on document naming convention.
• Providing support with QA checks on information, verifying documentation meets project standards and
advising on any non-compliance whilst following rejection protocols.
• Supporting with ensuring deliverables are available and issued in line with project master information
delivery plan (MIDP) and task information delivery plan (TIDP).
• Supporting to ensure documents are being assigned to work packages.
• Supporting with Implementing and maintaining document transmittals via Viewpoint for Projects.
• Support in transfer of published information in line with client requirements where appropriate.
• Effectively communicate with team members where required.
• Provide support to multi-disciplinary teams with uploads / downloads of project information.
- • Providing general administrative support where needed.
Qualifications
- Experience of working in a general administration support role or field of expertise
- Demonstrable knowledge and experience of operating IT systems and Microsoft Office Software, especially SharePoint, Word, Excel, Outlook or similar.
- An understanding of document control systems such as Autodesk, 4Projects Asite will be beneficial but training will be provided
- Good verbal and written communication skills.
- Clear and efficient numbering and labeling skills.
- Typing accuracy and efficiency.
- Attention to detail is essential to ensure documents are accurate and made to specifications.
- Filing and organisation skills for document storage.
