A detail-oriented Document Controller responsible for managing, organizing, and maintaining project documentation in a systematic and controlled manner. The role ensures accurate documentation flow, version control, and compliance with project and company standards throughout the project lifecycle.
Responsibilities:
- Set up and manage the document control system to ensure efficient organization, tracking, and retrieval of all project documentation.
- Manage filing, indexing, and version control of project documents to ensure accuracy, traceability, and use of the latest approved versions.
- Manage and track all incoming and outgoing project correspondence, ensuring proper recording, distribution, and follow-up.
- Maintain up-to-date drawing registers and transmittals to ensure accurate tracking and controlled distribution of project drawings.
- Track document approvals, revisions, and distribution to ensure timely updates and proper circulation of the latest information to all relevant parties.
- Manage Requests for Information (RFIs), submittals, and project records, ensuring timely processing, tracking, and proper documentation.
- Handle data entry, archiving, and document retrieval systems to ensure accurate record keeping and easy access to project information.
- Prepare reports and support document audits to ensure compliance, accuracy, and completeness of project documentation.
- Ensure secure handling of confidential project data and enforce access control procedures to protect sensitive information.
Candidate Profile:
- Diploma in Business Administration or a related field.
- Minimum of five years’ experience as a Document Controller in the construction industry.
- Experience in handling project documentation for construction sites and head office coordination.
- Strong knowledge of construction document workflows. (drawings, RFIs, submittals, method statements, material approvals).
- Skilled in maintaining drawing registers, document logs, and transmittal records.
- Familiar with tracking revisions and ensuring the latest drawings are distributed to site teams.
- Experience in coordinating with consultants, contractors, engineers, and project managers.
- Proficient in Microsoft Office applications (Word, Excel, Outlook) for documentation and reporting.
