Position: Document Controller (Saudi National)

Job Description:

Parsons is looking for an experienced Document Controller to join our team! In this role, you will organize and maintain project documentation, ensuring all documents are accurately filed, easily accessible, and compliant with industry standards. The position requires strong organizational skills, attention to detail, and proficiency in document control software to ensure smooth project execution and adherence to timelines.

What You’ll Be Doing:

Organize, file, and manage all project-related documents, including contracts, technical drawings, specifications, reports, and correspondence.

Maintain a well-structured filing system for easy access by project teams and stakeholders.

Record, track, and distribute all incoming and outgoing documents to relevant parties promptly.

Implement and enforce document control procedures to ensure proper handling, storage, and archiving of documents.

Ensure compliance with company standards and industry regulations related to document management.

Assign document control numbers, create templates, and ensure version control for all project documents.

Assist project teams with document review and approval processes, ensuring all documents are reviewed, signed, and finalized before distribution.

Coordinate with stakeholders to ensure timely document approvals and sign-offs.

Maintain records of all document revisions and approvals.

Manage electronic document management systems (EDMS), ensuring proper storage and organization of digital files.

Conduct regular backups of project documentation.

Provide reports on document status, including approvals, review cycles, and revisions.

Assist teams and stakeholders in retrieving documents efficiently.

Maintain an up-to-date index of all project documents and transactions.

Act as the point of contact for documentation inquiries, ensuring effective communication.

Coordinate document distribution to contractors, subcontractors, suppliers, and clients.

Train team members on document control procedures and tools.

Ensure all documents meet quality standards and project requirements.

Conduct audits on documents and filing systems to ensure accuracy and completeness.

Ensure proper storage and retention of documents for future reference.

Required Skills:

Bachelor’s degree in Business Administration, Engineering, or a related field, or equivalent experience.

2-4 years of experience as a Document Controller in construction, engineering, or project environments.

Experience with document management systems (e.g., Procore, Aconex, SharePoint).

Knowledge of documentation standards and regulations.

Strong organizational and time-management skills.

Attention to detail and accuracy.

Proficiency in Microsoft Office Suite.

Familiarity with document control and project management software.

Excellent communication skills.

Desired

Skills:

Certification in Document Control or Project Management (e.g., PMP, DCF).

Experience with digital and paper-based document systems.

Knowledge of legal, contractual, and regulatory requirements.

Ability to work independently and collaboratively.

Familiarity with quality management systems and audits.
