The Document Generation Analyst will effectively prepare Loan and Lease documentation provided to stakeholders for Document Execution.

This role works closely with Underwriting, Commercial, Pricing, Legal, Tax, and New Originations Operations teams.

The Document Generation Analyst will work with internal stakeholders to maintain the content, coding and system rules that drive all system-generated documents and will collaborate with stakeholders to format and set up templates for all one-off Special Handling and Manual documents .

This is hybrid opportunity based at our Irving, Texas location.

Provides document management services and processes including (but not limited to) filing, safe custody, sending/retrieval, imaging/digitizing, maintenance, archival and destruction of documents, leading to secure, consistent and effective access to and management of documentation. Document types include account documentation, securities/certificates, transaction information, etc.

Provides advice and guidance to assigned business/group on implementation of solutions.

Identifies emerging issues and trends to inform decision-making.

Coordinates and executes specific activities for the implementation of strategic initiatives; includes tracking metrics and milestones.

Coordinates the management of documents’ database; ensures alignment and integration of documents in adherence with BMO’s standards.

Assists with preparation of reports.

Analyzes information and provide insights and recommendations.

Communicates with internal stakeholders to respond to standard and non-standard inquiries.

Provides input into the planning and implementation of document management programs.

Executes work to deliver timely, accurate, and efficient service.

May assist in activities such as coordination and scheduling of work, resource forecasting, quality control, training, team coaching and guidance, operations research and problem resolution.

Promotes continuous improvement/cost effectiveness of business processes and procedures.

Evaluates circumstances requiring exceptions and engages senior management for resolution where required.

Migrates/transfers documents securely from/to a secure storage repository (may be an internal location i.e. vault or an external location/service).

May function as a problem-solving resource for more junior staff.

Integrates information from multiple sources to enable more efficient processes, enhanced analysis and/or streamlined reporting.

Determines type of documents and appropriate document management actions as per document management request and establish procedures and processes.

Reviews documents to verify that forms are correctly completed and required formats are used.

Executes data entry/processing/tracking to support document management activities.

Develops and maintains effective relationships with team members and stakeholders to execute work and fulfill service delivery expectations.

Executes work in accordance with defined procedures and processes to meet the prescribed timeframe.

Understands risks inherent in the operating area and ensures appropriate actions, including accuracy and safeguarding of all documents.

Follows records retention guidelines and policies for type of documentation, as required.

Focus is primarily on business/group within BMO; may have broader, enterprise-wide focus.
