Description:
As a Senior Executive Assistant in the ITS Data Technology Office (ITSDO) department, the selected individual plays a key role in ensuring seamless operations for the department and its Director. The primary responsibility will be to provide comprehensive administrative and proactive executive support to the Director of ITSDO.
Responsibilities:
Oversee the Director’s calendar and travel arrangements, prioritizing commitments and independently resolving scheduling conflicts.
Gather and collate materials for the Director’s meetings in close collaboration with Front Office staff.
Take meeting minutes and develop simple, engaging and clear presentations for the department as needed.
Provide administrative support to Managers by organizing meetings, resolving scheduling conflicts, and balancing competing demands with an understanding of strategic priorities.
Oversee the administrative and logistical arrangements for meetings, conferences, workshops, staff retreats, and other key events.
Support the creation and management of Purchase Orders (PO), Vendors when applicable, and Short-Term Consultant/Temporary (STC/STT) contracts in the Admin Portal.
Perform as ITSDO coordinator for various systems and practices including the Leave system (LARS), Time Recording System (TRS), Bravo staff appreciation, etc.
Manage office supplies and inventory in accordance with Bank guidelines.
Handle the Department’s PCard in accordance with Bank’s policies and guidelines.
Maintain and update distribution lists to facilitate effective communication across teams and departments.
Serve as ITSDO onboarding coordinator for new hires.
Provide additional project/program support assigned by the Director and managers as needed.
Support and work collaboratively with members of the ITSDO Front Office, and with other ITS Senior Executive Assistants and Program Assistants.
Coordinate with other Front Office teams and departmental teams when necessary to improve communication and coordination of cross-departmental deliverables.
Selection Criteria:
Associate degree or Bachelor’s degree with 5 years of experience, or equivalent combination of education and experience.
Comprehensive knowledge of the World Bank’s policies, procedures, and systems.
Proficiency in office productivity tools (MS Office, Excel, PowerPoint, Word, Outlook, etc.) and other Bank’s systems.
Outstanding interpersonal and communication skills.
High degree of flexibility and a demonstrated capacity to handle various concurrent activities.
Excellent organizational, administrative, and time management skills.
Proven ability to work effectively in a team-oriented, fast-paced environment.
Demonstrated ability to work independently and handle confidential matters.
Proficient in English including the ability to draft routine correspondence.
High level of motivation, commitment, personal ethics, and reliability.
