Key Responsibilities

  • Executive Support & Scheduling: Masterfully manage the CEO’s complex calendar, including high-stakes meetings, appointments, and international travel logistics.

  • Communication & Liaison: Serve as the primary gatekeeper and point of contact between the CEO and internal/external stakeholders. Screen and prioritize emails to ensure urgent matters are addressed.

  • Meeting Coordination: Prepare agendas, take concise minutes, and track follow-up action items. Ensure the CEO is fully briefed and has all necessary materials prior to every meeting.

  • Document Management: Assist in the creation, formatting, and distribution of high-quality reports, presentations, and corporate documents.

  • Travel & Logistics: Handle complex international travel bookings, visa requirements, and expense reporting with precision.

  • Personal Support: Provide ad-hoc personal assistance to the CEO to streamline his schedule and maximize productivity.

  • Confidentiality: Maintain and organize sensitive files, exercising absolute discretion with confidential company information.

Required Qualifications

  • Proven Experience: Significant experience in an Executive Assistant or Personal Assistant role, ideally supporting C-suite leaders in a fast-paced tech or global environment.
  • Remote Proficiency: Demonstrated ability to work effectively in a fully remote environment, maintaining high levels of communication and accountability.
  • Organization Mastery: Exceptional time-management skills with the ability to juggle multiple competing priorities across different time zones.
  • Communication: Strong verbal and written communication skills; ability to draft professional correspondence on behalf of the CEO.
  • Tech Savvy: High proficiency in MS Office (Outlook, PowerPoint, Excel) and collaborative tools (Slack, Zoom, Google Workspace).

  • Time Zone Alignment: Full availability during U.S. Eastern Time (ET) business hours is a non-negotiable requirement.
  • Productivity: An exceptional aptitude for task completion and "getting things done."
  • Composure: A strong sense of humor and the ability to remain calm under pressure.
  • Adaptability: Flexibility to adjust to shifting priorities in a 24/7 global business cycle.
  • Location & Hours: This is a 100% remote position. However, because the CEO and key U.S. operations are centered in the Eastern United States, the successful candidate must work on Eastern Time (ET) business hours to ensure real-time collaboration and support.
