Assurant has an exciting opportunity for a Senior Executive Assistant!

Overview of Position

This position will provide executive administrative and secretarial support to the Chief Actuary and the Actuarial Leadership Team along with specific operational support as detailed below.

What will be my responsibilities for this position?

Administrative Responsibilities:

Act as virtual office manager for a team of ~140 across 10 offices worldwide, including directly supporting Chief Actuary and their senior leaders. Oversee administrative support needs including submitting invoice payments, reconciling expenses, notarization of documents, etc. Compose memos, emails, presentations, organizational charts, and miscellaneous ad hoc documentation as needed.

Provide a bridge for smooth communication between the Leaders’ office and internal departments; demonstrating judgment to maintain confidentiality, trust, and support with senior management staff.

Manage calendars (i.e., scheduling, adjusting conflicts, etc.) of Chief Actuary and Actuarial Leadership Team. Coordinate all meeting logistics including room locations, operating audio-visual needs, and distribution of content (presentations, agendas, etc.) for sites participating.

Arrange travel both internationally and domestically for all management staff. Ensure international travel requirements are met in advance for staff. Plan, create & communicate travel agendas.

Organize employee engagement/recognition activities and events.

Inquisitive mindset and ability to leverage tools, including Excel and PowerPoint to enhance deliverables.

Operational Support:

Organize, collect, and analyze feedback related to data and systems, training, and team building through various methods (forms, surveys, polls, documentation, etc.). Provide details to senior management while maintaining employee discretion.

Collaborate with management team to capture essential team responsibilities & critical system access needs to support disaster recovery efforts. Manage department’s space planning needs. Serve as liaison between Facilities & department.

Facilitate IT administrative procedures related to hardware and software troubleshooting, system access, and new hire set up. Submit service requests as needed for the department.

Serve as program administrator for company sponsored actuarial professional training program. Act as primary source of information to help 40+ employees understand program guidelines, ensuring compliance, tracking, and coordinating provisions included.

What are the requirements needed for this position?

Basic Qualifications:

High School Diploma or GED is required.

Minimum 3 years of experience in executive administrative assistant or secretarial role.

Expert proficiency of Microsoft Office Suite including Word, PowerPoint, Excel, Teams, OneDrive, and Outlook.

Notary certification preferred.

<5% Travel Knowledge and Experience: Possess strong, positive interpersonal skills to work collaboratively across several businesses, functions, and geographies. Must be effective at time management and can prioritize multiple tasks simultaneously. Proactively adapts procedures, processes, and technology to identify next steps and accomplish requirements of the position. Ability to adapt to cultural differences and navigate a complex, global matrix organization. Excellent verbal, written and presentation skills to effectively communicate information to all levels of internal and external personnel. Basic understanding of corporate organizational structures. Ability to identify needs and initiate administrative projects. Skilled at organizing essential details that meet the needs of the requestor. Works under minimal supervision.
