The Opportunity

We are seeking a dynamic and motivated individual to join us as the Einhorn Center Administrative Coordinator.  In this role, you will wear multiple hats and be instrumental in three core functions:

Executive Support:

Coordinate the daily activities and schedules of the Executive Director.

Provide crucial administrative support to ensure seamless operations of the Einhorn Center.

Take the initiative to address challenges and find effective solutions.

Provide support for department staff meetings and various events, including assisting with the development of agendas, preparation of materials, compiling minutes, and identification of action-items for follow-up.

Schedule complex travel arrangements, develop visit itineraries, and process travel and expense reimbursements.

Collaborate with and delegate tasks to Einhorn Center student staff; may supervise student workers as needed.

Track and monitor budget related to Einhorn Center events and supplies. Process orders, internal fund transfers, and vendor reservations. Process grant payments and other funding requests. Purchasing card holder for Einhorn Center bills and memberships.

Track and order inventory of center’s printed materials and swag.

Work with the Communications staff to update website pages and event calendar listings; create digital graphics and social media posts, as needed.

Program/Project Coordination:

Proactively develop, monitor, assess, and recommend center and office systems and processes to ensure that the needs of staff and programs are met.

Contribute to the development of grant proposals and awards including the drafting of highly sensitive content and creation of reports compiling data from different university and internal databases.

Provide support to the Community Work-Study Program including data entry, invoices, supporting payroll, and managing the student orientation training course process.

Manage the Einhorn Center Vehicle program, including student and staff driver certifications, website maintenance, course creation and development, scheduling, communication, and vehicle maintenance oversight.

Prepare project timelines and tasks for complex events with internal and external stakeholders including alumni and donor awards events.

Hub Operations and Communication:

Act as the central point of contact for the Engaged Cornell Hub.

Manage inbound communications through telephone and email, delivering prompt and knowledgeable responses.

Direct visitors and respond to routine inquiries, embodying a warm and welcoming presence.

Support Hub residents with key operational needs, ensuring a supportive and efficient environment.
