SUMMARY

The purpose of the position is to provide basic customer service to citizens who require housing, community development, lab services, or social service-related programs and assistance. Employees in this position perform at entry level to provide information to clients, answer general questions, interpret agency policies and procedures, establish program eligibility, and provide referrals to various services. Position performs a variety of clerical and administrative support functions within the Human Services Division.

In the event of a natural or man-made disaster that may threaten the area, the employee will be required to perform emergency duties as directed.

ESSENTIAL DUTIES AND RESPONSIBILITIES / KNOWLEDGE, SKILLS AND ABILITIES

Provides general responses to inquiries from the public related to Human Services programs, and their policies and procedures.

Schedules appointments or registers callers as applicable to include but not limited to, orientation workshops and management of appointment database.

Receives specific inquiries and concerns by telephone and in person from citizens; answers inquiries and requests from the general public, through friendly, professional customer service skills, ascertaining the needs of the customer and providing appropriate assistance and information, or directing to the appropriate program and/or personnel.

Receives and verifies accuracy of all documents, forms and applications provided by clients for completion and ensures program eligibility.

May assist in collecting intake forms and procedures for clients applying for assistance from the Human Services Division.
Performs clerical and administrative tasks as assigned such as: processing incoming and outgoing mail, staff meeting minutes, updating resource directories, tracking visitor and call-in counts, inventory of office supplies, maintaining conference room schedule, preparing and posting closing signs at all Human Services sites, review and preparation of webpage updates as they occur, etc.

Communicates with vendors to research invoice or payment questions, and tracks payments.

Provides support for activities within department such as outreach activities.

Assigned to assist in the operation of the Drug Lab, including but not limited to observing client testing in absence of staff.

Maintains lobby areas and computer area, updates resource materials available to visitors at Human Services site.

Performs work related to this job description as required.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of the special needs of eligible clients.

Knowledge of the social service system providers in the County and State.

Knowledge of Microsoft Office applications, including, Word, Excel, and Outlook.

Basic knowledge of the practical application of HIPAA regulations.

Ability to read and follow prescribed procedures and manuals.

Ability to establish and maintain effective working relationships with co-workers, supervisors, clients and the general public.

EDUCATION AND EXPERIENCE

Must possess a High School Diploma and three (3) years’ experience in customer service dealing with sensitive matters.

Additional qualifying education and/or experience which provide the necessary knowledge, skills and abilities may be substituted one for the other on a year for year basis.

CERTIFICATES, LICENSES, REGISTRATIONS:
Must possess a valid Florida Driver’s License
