KEY RESPONSIBILITIES

Patient Interaction and Support:

Extend a warm welcome to patients, assisting with inquiries, scheduling appointments, and maintaining accurate records.
Provide reassurance and guidance to patients by anticipating patients’ anxieties, answering / supporting patients’ questions and concerns, and facilitating communication to service providers as needed.

Appointment Scheduling and Management:

Optimize patient satisfaction and clinic efficiency by adeptly managing appointment scheduling via in-person, telephone, and email/text interactions.
Ensure punctuality and adherence to schedules by coordinating patient arrivals, monitoring service delivery timelines, and facilitating communication with providers.

Record Keeping and Data Management:

Uphold the integrity of patient records by efficiently organizing and retrieving treatment information.
Maintain precise patient accounts, meticulously recording and updating personal and financial details, while ensuring compliance with confidentiality protocols.
Manage financial transactions effectively by obtaining and meticulously recording revenue, along with updating pertinent financial records. This includes accurately recording and promptly collecting patient charges, monitoring and managing patient credit, and overseeing the efficient processing of billing procedures.

Miscellaneous Office Operations:

Oversee office inventory and equipment needs, proactively managing supplies and coordinating maintenance services to uphold operational efficiency.
Proactively identify opportunities for enhancing office operations, whether through streamlining processes, leveraging software advancements, or exploring innovative marketing initiatives.

KEY QUALIFICATIONS:

Exceptional Customer Service: Demonstrated ability to provide warm, empathetic, and personalized support to patients, addressing inquiries, concerns, and needs with professionalism and care.
Attention to Detail: Proven track record of maintaining accurate records and accounts, with meticulous attention to detail in tasks such as appointment scheduling, record-keeping, and financial transactions.
Communication Skills: Strong verbal and written communication skills, enabling effective interaction with patients, colleagues, and service providers to ensure clear and timely communication and coordination.
Organizational Abilities: Ability to manage multiple tasks and priorities efficiently, ensuring smooth operations and optimal patient experiences amidst a fast-paced environment.
Problem-Solving Skills: Resourceful and adaptable approach to resolving challenges and finding innovative solutions to enhance office efficiency and patient satisfaction.
Team Player: Collaborative mindset with a willingness to support colleagues and contribute to a positive team environment, fostering a culture of mutual respect and shared success.

Additional information:

Seeking staff either full or part-time (minimum 20 hours/week)
Minimum of a High School diploma
Minimum of one-year relevant experience and/or training
Previous experience with Microsoft suite preferred
Benefits include: a competitive salary commiserate with experience starting between $20-25/hour, paid time off, and depending on desired schedule/hours health insurance
