We are a locally owned and operating Coffee Roaster located in Indianapolis near the South Broad Ripple neighborhood. Hubbard and Cravens Coffee is committed to providing the finest, freshest coffee and tea with the highest level of quality. Our products are served at many of the finest restaurants and hotels throughout the country along with our 2 retail coffee shops. We are looking for a full-time Front Office / Accounting Assistant to support our team.

General Position Summary:

We are seeking a motivated and detail-oriented individual to join our team as Front Office/Accounting Assistant. This position is a combination of front office tasks and basic account tasks, ensuring smooth day-to-day operation and account financial record-keeping.

Key Responsibilities:

Front Office Duties:

Answer main telephone line
Take messages/orders and direct calls to requested
Enter all service calls for Espresso Solutions into Asana, the service software
Greeting all customers that come into the office
Front office filing
Other Administrative duties as assigned or special projects as needed

Accounting Duties:

Maintain the AR email inbox
Answer all questions and follow up with customer inquiries regarding payment inquiries.
AR Invoicing
Generate and send customer invoices daily for orders placed
Aging Statements
Send monthly account statements to customers
Make phone calls to collect payment
Post Daily Bank Deposits
Process credit card payments daily
Maintain credit card binders
Monthly reporting
Pending Orders report
Pull the pending order report and verify that all Sales Orders are converted into sales invoices
Other Administrative duties as assigned or special projects as needed

· Strong organizational skills, time management, analytical and problem-solving skills

· Excellent written and verbal communication skills.

· Ability to multitask in a fast-paced environment

Full Time

Monday through Friday 8:00am – 5:00pm.

Position is in person

Hourly Rate based on experience and skills

High School Diploma or higher education

Microsoft Office: 1 year (Required)

Customer Service: 1 year (Required)

Job Type: Full-time

Pay: $14.50 – $16.00 per hour

Expected hours: 40 per week
