As our Office Administrator, you’ll be the backbone of our Lexington headquarters, ensuring everything runs smoothly—both virtually and in person. Your role will include:
Provides exceptional customer service to callers; answer multi-line phone system and direct calls to the appropriate individuals.
Distributes incoming mail (receive, sort, and scan) and facilitates outgoing mail/shipments.
Coordinate FedEx and UPS accounts, including invoicing.
Maintain the appearance of the front desk and all shared office spaces for the Lexington Headquarters main office.
Checking inventory, ensuring shared office supplies are adequately supplied; ordering and restocking more supplies as needed for the Lexington Headquarters office and AMR clients.
Manage Parking Voucher inventory and restocking as needed.
Provide overall administrative assistance for various business needs, including but not limited to preparing and scanning documentation, routing documents for signature, faxing, filing, shipping, and printing.
Deposit client checks received via mail. Support AMR and client invoicing as requested.
Provide additional administrative support to shared services departments, HR, and the executive team as needed.
Other duties as assigned.
Requirements:
Knowledge, Skills, and Abilities:
Must have a dedicated remote workspace that is free of distractions and has the minimum technology requirements to support remote work
Must be able to work on-site, in the office, minimum two days a week as needed
Strong customer service orientation
Strong organization skills
Problem solving and basic troubleshooting skills
Ability to prioritize effectively, attend to details, and produce high-quality work
Excellent interpersonal and communication skills, including teamwork, coaching, writing, listening, and speaking
Ability to learn new duties and adjust to new situations encountered on the job
Ability to respond to common project-related inquiries from staff and clients
Good judgement in dealing with clients and outside vendors and preventing internal company information from being passed inappropriately
Proficient knowledge of Microsoft 365 and SharePoint
Training and Experience:
High school diploma or higher
Minimum one year of relevant experience and/or training, or equivalent combination of education and experience.
Ability to work overtime as needed.
