Position: Event Coordinator Admin – CONTRACT
The Event Coordinator / Administrative Assistant is responsible for planning, organizing, and executing company events while providing comprehensive administrative support to leadership and team members. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Event Coordination
- Manage event budgets, timelines, and vendor relationships
- Negotiate contracts with venues, caterers, and service providers
- Coordinate logistics including scheduling, transportation, catering, materials, and on-site setup
- Oversee event registration, communication, and attendee tracking
- Ensure events are delivered on time, within scope, and within budget
- Evaluate event success and provide post-event reporting
Administrative Support
- Provide administrative support to leadership and/or department teams
- Manage calendars, schedule meetings, and coordinate travel arrangements
- Prepare reports, presentations, and internal communications
- Maintain organized filing systems (electronic and physical)
- Process invoices, expense reports, and purchase orders
- Serve as a point of contact for internal and external stakeholders
