POSITION TITLE:
Administrative Assistant, Executive Director of Student Programs

JOB DESCRIPTION:

Primary Purpose: Assist and support administrator so that maximum attention may be devoted to educational administration.

RESPONSIBILITIES:

Major Responsibilities and Duties
Organize and manage the routine work activities in the assigned administrative department.
Perform typing/computer tasks in the preparation of correspondence, forms, reports, etc. for the administrator and other department staff members.
Assist in compiling information for preparing various official reports for the department.
Receive, sort and distribute mail and other documents to department staff members.
Obtain, gather and organize pertinent data as needed and put into usable form and forward to committees, community agencies, individuals, appropriate staff and administration.
Maintain a regular filing system, as well as a set of secure confidential files, and process incoming and outgoing correspondence as instructed.
Maintain a schedule of appointments and make arrangements for conferences, interviews, luncheon meetings and travel arrangements for administrator.
Perform bookkeeping tasks associated with the position.
Place and receive all incoming calls, take reliable messages and route to appropriate staff.
Order and maintain supplies as needed.
Duplicate printed materials as needed.
Welcome and assist visitors.
Work cooperatively with other personnel in the district.
Compose visual presentations, pamphlets and flyers.
Promote good public relations.
Attendance at work is an essential function.
Other duties as assigned by the supervisor or designee.

EXPERIENCE:

QUALIFICATIONS:

Minimum Education/Certification:
High school diploma or G.E.D.
30 credited college hours or five years of experience as an administrative assistant or similar office experience preferred
Special Knowledge/Skills:
Proficiency in typing, word processing and file maintenance
Expertise in basic office procedures and the operation of common office equipment and machines
Ability to greet the public in person and by telephone
Effective interpersonal skills
Proficient organizational skills

OTHER INFORMATION:

Equipment Used: Computer, printer, phone, fax machine, scanner, laminator, copier, calculator and other office equipment. Working Conditions: Mental/Physical Demands/Environmental Factors: Moderate lifting and carrying (15-44 pounds), reaching above shoulders, use of fingers, walking, specific visual requirements (using computer), specific hearing requirements (phone conversations).
