Job Summary
We are seeking a detail-oriented and proactive Administrative Assistant to support our team in various clerical and organizational tasks. The ideal candidate will possess strong computer literacy and phone etiquette skills. Marlin Construction is looking for someone who provides administrative support to the staff in the office as well as the crew in the field. The assistant works closely with other admins of the company to organize files, create correspondence and other necessary documents. Their job involves completing a wide range of clerical tasks
Responsibilities
Answering phone
Reconciling invoices organize and maintain trucking tickets
Facilitate equipment call offs and swaps
Track equipment movements as well as truck and equipment repairs and maintenance
Maintain up to date SWPPPs logs
File NOC’s, NOI’s and NTO’s and send NTO information when requested
Maintain the active job log
Maintain office supplies inventory and order supplies when necessary as well as various forms used within the office
Organize monthly safety packets
Miscellaneous filing
Request COI’s and W9’s and keeping files up to date
Call in locates and renew ongoing ones
Qualifications
Proven experience in an administrative role or similar position is preferred.
Strong clerical skills with attention to detail and accuracy.
Excellent organizational abilities to manage multiple tasks effectively.
Proficient in using phone systems with exceptional phone etiquette.
Familiarity with construction is preferred, but not required.
Experience as a personal assistant or receptionist capacity is advantageous.
High level of computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Experience with Sage 100 Contractor preferred, but not required.
Strong communication skills, both verbal and written, with the ability to interact professionally with clients and colleagues.
