This position is associated to that standalone business strategy and is expected to fully transition to a standalone company at some time in the future.

About The RoleAs the executive assistant to the Chief Legal Officer (CLO), you will provide high-level administrative support to the CLO and the legal, trade, and government affairs team. The executive assistant is responsible for managing the CLO’s calendar, travel arrangements, correspondence, and expenses, as well as preparing reports, presentations, and documents for internal and external stakeholders. The executive assistant also coordinates meetings, events, and communications with the CEO, executive leadership team, Board of Directors (BOD), and external partners.

Responsibilities Include But Are Not Limited To

Organize and manage extremely complex calendar schedule(s) for one or more managers, maintaining executive’s agenda and assisting in planning appointments, customer meetings, conferences, etc.

Provide travel arrangements and prepares expense reports.

Provide support for departmental events, quarterly events, and recognition as well as coordinating activities across the organization, events, conferences, F2Fs, etc.: plans and organizes the events, prepares agendas, coordinates all logistics.

Exercise diplomacy, tact, and judgment in interacting with a wide range of constituents at varying levels of an organization including staff at all levels, administration staff; customers.

Maintain office management procedures and departmental and legal policies.

Attention to detail while taking the initiative to manage logistics of the department/division such as maintaining divisional organizational charts, phone distribution lists and divisional logistics needs.

Provide advance level support for Microsoft tools, Intel tools, purchasing and finance systems.

Provide administrative support to the team.

Manage projects minimal supervision.

Manage general administrative duties such as order supplies, generating shipping memo, etc.

Coordinate activities to ensure division goals are met, effectively mentoring, and integrating new admins and ensuring all admins understand department procedures and expectations.

Work closely with the Senior and Executive administrative staff.

Qualifications

Minimum Qualifications

This position is not eligible for Intel Immigration sponsorship.

HS Diploma and 4+ years of experience in an administrative role reporting directly to upper management.

Preferred Qualifications

Experience in overseeing budgets and expenses.

Experience in developing internal processes and filing systems.
