DEPARTMENT ADMINISTRATIVE ASSISTANT
SUMMARY:
Ionis Pharmaceuticals, Inc. is looking for a stellar Department Administrative Assistant to support the multiple departments within research. The ideal candidate will be experienced in handling a wide range of administrative support tasks, including technical tasks, and must be exceedingly well-organized and flexible. This individual must function effectively and independently in various roles within a dynamic, interrogative, and fast-paced environment.
The successful candidate will be a key team member to ensure demanding schedules, conflicting priorities, and communication are managed effectively for the team. The candidate will organize and streamline operations to ensure optimal effectiveness. The position will offer the ability to work closely with an experienced and tightknit biotech team.
RESPONSIBILITIES:
Assist leaders with their daily, quarterly, and annual scheduled duties, to include materials and setup
Arrange meetings and conference calls including coordinating all meeting logistics, developing agendas, meeting materials, take attendance, etc.
Coordinate shipment and tracking of Oligonucleotide compounds
Manage and treat highly confidential information professionally and in accordance with expectation of leadership
Handle team contract needs including but not limited to submission and tracking of deadlines
Anticipate team needs and proactively bring together appropriate people and resources to support leadership in addressing issues
Maintain paper and online records and follow procedures for retention, protection, retrieval, transfer, and disposal
Follow abstract/presentation deadlines and conference dates to make sure leadership is aware of upcoming events/deadlines
Assist in creating publications, presentations, and materials as required for submissions
Receive and interact with visitors, new hires, candidates, and caterers
Prepare and process expense reports
Coordinate travel for departments and off-site visitors
Prepare, maintain, and process KOL and consultant agreements, scope of work, travel expenses, and meeting agendas
Manage online library of Scientific Publications
Maintain collaborative and positive relationships with internal administrative team and external administrative partners
Oversee responsibility for on-site and off-site events including meetings, happy hours, conferences, and team building events
Reception coverage as needed
Other duties as assigned
REQUIREMENTS:
At least 2 years of experience supporting executives in an interrogative environment
A tenacious yet flexible problem-solver with an ability to manage complex tasks and prioritize competing demands to meet deadlines
Critical thinker who operates independently while demonstrating good judgment, an ability to be resourceful and proactive
Consistently delivers a high quantity of high-quality work

Strong relationship building and interpersonal skills exhibiting patience, respect, and grace under pressure
Shares appropriate information openly/transparently with co-workers and cross functional teams
Displays a high degree of maturity, honesty, trust, and integrity
Proficient in Microsoft Office Suite 365 (Outlook, Word, Excel, PowerPoint)
Biotech experience preferred, but not required

The pay scale for this position is $20.44/hour to $33.62/hour
