Office Manager – Administrative Support to the Associate Dean for Research and Graduate Studies. Job Description. This is a full-time position. The ideal candidate should be a self-motivated individual with solid work ethics who demonstrates competencies that include:

• Knowledge and familiarity with Outlook, Adobe Acrobat and Online Conference software programs
• Knowledge and familiarity with the use of spread sheets and databases like Black Board, Exam Soft, Bright Space, and People Soft
• Attention to detail, organizational skills and ability to maintain confidential information, create and manage inventories
• Adaptability and multi-tasking skills
• Able to work well with graduate students, postdocs, and other laboratory personnel, independently and as a team
Duties and Responsibilities
• Provide administrative support to ensure efficient operation of the Office of Research and Graduate Studies.
• Assist with tracking orders for research expenses across departments within the College of Veterinary Medicine (CVM); process purchase orders, invoices, subscriptions, etc. and follow up on approval of requisitions and contracts among different investigators.
• Maintain various records, databases, and log books pertaining to the functions of the Research Office.
• Coordinate meetings with and for faculty, graduate students, research committee, and outside personnel.
• Answer phone calls, schedules meetings and efficiently interact with other administrative offices and departments of the University.
• Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
• Provide current and accurate information to support research activities of faculty and students.
• Provide administrative support to other CVM administrators, as needed, ensuring compliance with appropriate university procedures.
• Provide graduate students occasional assistance with issues that concern them before forwarding to the Associate Dean.
• Take meeting notes and post where and when appropriate.
• Maintain research activities of all faculty and students in CVM, and submit monthly research reports concerning publications, conference presentations, and grants to the Dean, CVM.
Requirements:
• Bachelor’s degree or equivalent
• Minimum of 2 years of experience as an administrative assistant to an academic administrator. An employee in this position must complete all appropriate background checks at the time of hire, promotion, or transfer.
